Salary: Hourly range $22-28 depending on experience and training needs

PHYSIOVICTORY Physical Therapy Redefined is looking to bring on a Director of Operations for our health and wellness office in Conroe, TX. Our clientele are frustrated with traditional medical clinics and seek out the individualized care provided in our spa-like environment. Our Physical Therapists empower patients through education, movement, and lifestyle changes. Services include physical therapy, dry needling, muscle recovery, and manual therapy. We are a self-pay private practice. 

This role requires the attention of someone who is organized, proactive, and numbers driven. In our intimate setting - working closely with the owner, staff therapist, and admin assistants or interns - it is vital to have an energetic and self-starter attitude! 

You will be the first point of contact with our clients. Research shows the interaction with the front office has a direct impact on patient self efficacy - meaning, the person in this role has the opportunity to make our clients feel better before they even meet the doctors of Physical Therapy. 

 

Experience in an administrative, sales, or customer service role for a small business is preferred. This position is intended for a motivated candidate who is looking to grow with the company long term. 

 

Responsibilities:

 

Operations 

  • Lead generation and conversion 
    • Bringing a client from an interested contact to a paid evaluation.
    • Coordinating systems inside:
      • CRM: Go HighLevel
      • EMR: PracticeQ
      • Ads: Facebook Business Suite
      • Voip: OpenPhone
      • Google Workspace: Proficient in GMail, Docs, Sheets, Spaces, Tasks
      • Email Marketing: Flodesk
  • Calendar management
    • Scheduling new clients by phone, email, and text
    • Booking the plan of care after the 1st session in person or by phone
    • Collecting payment upfront and following up with open invoices
    • Maintaining accounts receivable in current status
  • Inventory
    • Ordering supplies on a regular cadence
    • Organizing files and charts
    • Assessing product in stock, client demand, profit margins

Client Liaison

  • Relationships
    • Building report from the first contact by text or phone
    • Managing the flow as clients arrive to check in and complete their session with check out 
    • Nurturing potential clients on the leads list, as well as discharged clients for reactivation
    • Requesting reviews and feedback to better reach our target audience
    • Creating an overall pleasant experience with the practice 
  • Marketing
    • Assisting with filming and collecting content for our SMM
    • Gaining approval from clients with signed release

Schedule

  • Full time; 40 hours in person
  • Weekdays; 8am to 5pm (office closed for lunch 12-1)

  • Hourly range $22-28 depending on experience and training needs
