Job Summary:

Fast pace urgent care clinic seeking a Ward Clerk to be a key player in our commitment to giving patients the best experience possible, while we provide them the highest quality patient care in our area.

Responsibilities and Duties:

  • Ability to communicate effectively, both orally and in writing.
  • Must have a working knowledge of radiology protocols, including ordering specificities.
  • Must have knowledge of potential health related conflicts that could affect the imaging ordered.
  • Responsible for educating patients regarding instructions, guidelines, and protocols necessary for testing.
  • Must be able to identify contraindications that may arise regarding patients specific medications, allergies, or other health issues.
  • Responsible for securing prior authorization from insurance companies.
  • Responsible for scheduling the imaging within the parameters set forth by the Urgent Care Provider.
  • Responsible for ensuring all medical records, laboratory results, and radiological reports are readily available for providers.
  • Proper documentation in the referrals and imaging orders to ensure proper patient care.
  • Responsible for documentation of patient chart notes, lab, imaging results and ensuring they are faxed to the patient chart in a timely and correct manner for provider review.
  • Works and maintains buckets to ensure timely follow-up for imaging appointments and chart notes.
  • Responsible for coordinating consults between Urgent Care Providers and outside Specialty offices.
  • Creates and updates the on-call schedule monthly.
  • Coordinates and secures hospital beds upon admit.
  • Faxes admit orders, all vital information, including labs, face sheet, chart notes, etc.
  • Coordination of imaging orders, prior authorizations and follow-up visit for Urgent Care patients.
  • Ward Clerk processes all stat and non-stat referrals ordered by the Urgent care providers.
  • Ward Clerk must ensure all documentation and prior authorizations are accurate and approved prior to care for all patients.
  • Ward clerk coordinates all types of imaging orders for stat and non-stat imaging, including but not limited to cat scans, MRI/MRA, ultrasounds, guided biopsies, and guided aspirations, etc
  • Other duties as assigned

Qualifications and Skills:

  • CCMA certificate recommended but not required
  • Ability to communicate effectively, both orally and in writing
  • Set priorities for nursing action in a sequence according to patient needs
  • Communicate with the provider and other nurses and team members to ensure the patients well being
  • Maintain a clean, neat, and safe work environment for patient and staff according to policy and procedures
  • Participate in economical utilization of supplies
  • Minimize non-productive time and fill slow periods with activities that will enable you to prepare to meet the future needs of EFM Urgent Care.
Physical requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • The employee is frequently required to walk; use hands and fingers, handle, or feel; and reach forward with hands and arms.
  • The employee is occasionally required to sit and stoop, kneel, or crouch.
  • Must be able to withstand physical and emotional stress.
