JOB PURPOSE:

Navajo Technical University (NTU) has a need for a Coordinator at the Kirtland Instructional Site, New Mexico, who will be responsible for launching and managing NTU certificate and degree programs at the site. The job entails ensuring that NTU's Kirtland Instructional commitments are met and that the site maintains a successful enrollment and the academic standards of Navajo Technical University. The incumbent in this position performs a variety of clerical and coordination activities at the Kirtland Site, NM. Assists and directs visitors, works actively with NTU's Dual Credit Coordinator, the Central Consolidated School District staff, NTU's Dean of Undergraduate Studies, Registrar, and Finance to establish credit-bearing classes, works actively with private sector partners at Kirtland, and resolves administrative problems and inquiries. The incumbent will also compose, edit, and proofread correspondence and reports, and prepares a range of administrative documents.

JOB DUTIES & RESPONSIBILITIES:

  • Serves as the first point of contact for NTU's Kirtland Instructional Site operations.
  • Works with the Dual Credit Coordinator to set up dual credit classes in partnership with Central Consolidated School District.
  • Works with NTU Registrar and the Dean of Undergraduate Studies to establish for-credit classes for each semester.
  • Develops budgets and budget requests.
  • Monitors budgets, ensuring operations are efficient and are contained within budget parameter.
  • Explore interest in NTU certificate programs by the community and organizations and obtain data on the numbers of potential students.
  • Market the Kirtland site by outreaching to the community. Represent NTU through booths, parade entries and speaking engagements in the local communities. Recruit for regular, dual credit and ABE GED students.
  • Works with private and tribal sector partners and others to establish internships, externships, and service learning opportunities for students.
  • Coordinates with the Dean of Undergraduate Studies to establish classes and programs to expand Kirtland site enrollment.
  • Follows Finance policies in procuring supplies and equipment.
  • Welcomes visitors, determines nature of business, and announces visitors to appropriate personnel, maintaining professional and courteous
  • Answers Incoming telephone calls, determines purpose of calls, and forwards calls to appropriate personnel or department, ensuring professional telephone
  • Screens Incoming calls and correspondence; exercises judgment and responds accordingly; receives, sorts, logs, and routes
  • Arranges travel, prepares and submits travel-related documents, and maintains travel information as
  • Prepares correspondence, reports, minutes, agendas, memos, forms, directories, resolutions, ordinances, work orders, and other documents and communications from drafts, recordings, or verbal Instruction as
  • Acts as primary liaison for department with students and outside
  • Processes time sheets to payroll, distributes
  • May assists student organizations with administrative
  • Schedules workshops, assists instructors with course setup and other training
  • Produces or coordinates the production of material required by
  • Edits and reviews all correspondence and documents for correct grammar, punctuation, and spelling.
  • Maintains financial records; processes accounts payable, purchasing, book orders, and travel
  • Schedules department events and activities; classroom schedules, manages department or manager's
  • Attends meetings and takes minutes as
  • Conducts research to resolve operational questions or issues as
  • Maintains and operates office machines, equipment, and computers. Performs or coordinates general maintenance and
  • Photocopies, collects, distributes, and flyers for recruitment.
  • Transmits outgoing faxes, and retrieves, logs, and distributes incoming
  • Maintains Inventory of office
  • Maintains confidentiality of all privileged
  • May provide guidance to work study students and
  • Ensure that the dual credit students at the Kirtland Site matriculate at NTU after they graduate from high school, by working closely with the counselors at the early college high school.

PREFERRED QUALIFICATIONS/REQUIREMENTS:

  • Master's Degree in Education, Business, or Business Administration or a related
  • Five years of administrative, customer service or secretarial
  • Valid state driver's
  • Must be able to pass background check, with NO prior convictions of any felonies,

MINIMUM QUALIFICATIONS/REQUIREMENTS:

  • Baccalaureate Degree in Education, Business, or Administration Degree in Business, Administration or a related
  • Three years of administrative, customer service or secretarial
  • Valid state driver's
  • Must be able to pass background check, with NO prior convictions of any

KNOWLEDGE, SKILL AND ABILITY REQUIREMENTS:

  • Ability to work with high school as well as technical college students.
  • Ability to successfully work with private and tribal sector employers.
  • Ability to work with faculty and administrators at NTU.
  • Ability to work successfully with Central Consolidated School District personnel.
  • Ability to learn how to use the Jenzabar integrated software system.
  • Superior communication skills.
  • Knowledge of modern office practices, procedures, and
  • Knowledge of planning and scheduling

  • Skill in operating business computers and office machines, including in a Windows environment, specifically Word, Excel, Access, and presentation software (such as PowerPoint).
