Position Summary

The Horsemen’s Bookkeeper is responsible for providing service to horse owners and trainers by maintaining the horsemen’s accounting system (e.g., process race results, recording deposits, and updating Horsemen’s information).

Expectations:

  • Act as a role model within and outside the gaming and racing facility.

  • Consistently report to work on time prepared to perform duties of position.

Essential Duties & Responsibilities:

  • Responsible for creating, modifying and maintaining horsemen’s account information such as name, address and tax identification using InCompass.
  • Ensure Horsemen receive and provide all required documentation related to W-9’s.
  • Input photo charges from the photographer to the owner’s accounts daily.
  • Respond to phone, email and in person inquiries from the horsemen in a timely manner.
  • Process a high volume of deposits and check disbursements on a daily basis.
  • Process mailings for horsemen and research accounts with returned mail.
  • Input race results using the InCompass software.
  • Responsible for end of day balancing and reconciliation horsemen’s accounts.
  • Process Jockey Payroll weekly through live race season.
  • Maintains records related to purse offerings and distributes.
  • Performs daily race convert ensuring the distribution of purse funds are deposited to proper owners’ account.
  • Send out negative monthly balance statements after race season.
  • Possess a good general knowledge of the thoroughbred horse racing industry.
  • Protect organization's value by keeping information confidential.
  • Work closely with the racing office, stewards and clerk of scales regarding claims and race finish.
  • Work under pressure; maintain regular and punctual attendance including working odd and unusual hours, weekends and holidays.
  • Build relationships and loyalty with guests through sincere and meaningful interactions (e.g., learn guests’ names and preferences; connect with them individually and professionally; smile; make eye contact and verbally greet guests).

  • At all times maintain a courteous, positive and professional working relationship with all Ellis Park personnel and the general public (e.g., coworkers, clients and vendors).
  • Develop a thorough knowledge of services, room locations, amenities, surroundings, providing accurate details.
  • Performs additional duties and responsibilities as necessary or assigned.

Education & Experience

  • A High School Diploma GED preferred.
  • Administrative and accounting experience preferred.
  • Previous cash handling experience required.

Licensing & Certification:

  • Applicant must be able to obtain and maintain a valid license through the Kentucky Horse Racing Commission (KHRC).

Computer Equipment, Software, Machinery:

  • Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Standard office machine equipment (printer, copier, fax, 10-key calculator).
  • Proficient with InCompass software.

Essential Physical Requirements:

  • Requires employee to hear, sit, talk, and repetitively use hands the majority of the time.
  • Requires employee to occasionally stand and walk.
  • Requires employee to occasionally push/pull, carry, lift, and slide/transfer 1-25 lbs.

Essential Mental Demands:

  • Requires the ability to solve problems, organize, detailed oriented, multitask, plan, make decisions, interpret data, read and write the majority of the time.

Supervisory Responsibilities:

  • None.

Work Environment (inside/outside):

  • The job is performed indoors with occasional exposure to confined areas and fumes.

Other Requirements:

  • Must provide and maintain a valid driver’s license.
