Job Description

The Town North Condo Association (TNCA) Board of Directors is seeking a skilled and experienced On-Site Facilities Manager to help coordinate and oversee the maintenance and operation of our property and buildings. The TNCA Board of Directors recently hired a Property Management Company that will serve as the day-to-day contact for TNCA owners, tenants, vendors, scheduled contractors, and other designated persons. The On-site Facilities Manager will the primary liaison between our Property Management Company and the TNCA Board of Directors.

The TNCA property includes 54 individual condos, an in-ground swimming pool, and several other common amenities such as laundry rooms, a BBQ pit, and landscaped areas. Once hired, the On-Site Facilities Manager will meet weekly with the Property Management Company to review various issues regarding our buildings, equipment, and tenants. These weekly meetings will be structured to ensure that ongoing needs at the TNCA facilities are being addressed in a timely manner.

The On-Site Facilities Manager will serve in a leadership role, and the successful candidate must have a strong work ethic, as well as excellent organizational and problem-solving skills. He or she will report to the TNCA Board of Directors/President and will work closely with the Board, as well as vendors, scheduled contractors, and other TNCA designated persons that work at our property. The successful candidate will be provided with rent-free housing as part of their overall compensation package. This housing is scheduled to be renovated soon, and the compensation package includes:

· A 2-bedroom, 1-bath TNCA unit at no cost

· Electric utilities at no cost

· Gas utilities and trash removal at no cost

· Internet access at no cost

· Other benefits (e.g. a TNCA mobile phone) as mutually agreed upon

The On-Site Facilities Manager must have excellent communication skills and assist our Property Management Company to properly address routine telephone calls, website inquiries, and email communications from various TNCA stakeholders. Under unusual or emergency situations, the On-Site Facilities Manager may need to act as the primary TNCA contact. He or she must understand the urgency of situations, and provide timely and accurate responses (and follow up) to both written and verbal requests. The On-Site Facilities Manager must help the Property Management Company and TNCA to enforce tenant and owner compliance with Town North HOA Declarations, Covenants, and Rules. Having a strong background in customer service will be highly beneficial.

 

Job Responsibilities and Desired Skills:

This Job Description overviews the general responsibilities for this position, and it is not meant to be all inclusive. Ideally, the successful candidate will have ongoing communication with the TNCA Board to update and revise these job responsibilities as they evolve over time. A summary of the initial responsibilities and desired skills are listed below:

1. Effectively communicate with the Board of Directors, as well as TNCA owners, tenants, vendors, contractors, and other stakeholders.

2. Perform daily, weekly, and monthly inspections of the property.

3. Ensuring the Pool is opened during normal hours and operating properly.

4. Supporting our various vendors (e.g. testing the pool water chemistry under the guidance of our Outside Contractor).

5. Helping to oversee seasonal tasks such as the swamp cooler spring and fall maintenance.

6. Removing trash from the parking lot and common areas to the TNCA dumpsters on a regular basis.

7. Meeting with our Property Management Company on a weekly basis.

8. Notifying the Property Management Company and Board President of any problems, damage, needed repairs, or safety issues that require the use of an outside service provider.

9. Coordinate and oversee external vendors and contractors performing repairs and maintenance services authorized by the TNCA Board/President.

10. Maintain accurate records of maintenance and upkeep activities as requested by the Board of Directors.

The ideal candidate will have a proven track record of successful facility management for a similar sized facility (or job experiences that are appropriate). Previous experience with project management (including planning, budgeting, and execution) will be helpful. The ability to understand and work with irrigation, plumbing, electrical, and other systems is a benefit.

Compensation:

TNCA is offering a competitive compensation package that includes rent free, on-site housing for the successful candidate. The position pays a bi-monthly wage on the 15th and 30th of each month (as a 1099 Independent Contractor). The actual salary will be based upon experience and capabilities.
