Job Title: Move Coordinator (Relocation)

Department: Client Services

Reports To: Client Service Supervisor

Role Summary

The Move Coordinator plays a critical role in ensuring smooth relocations, maintaining client satisfaction, and adhering to contractual standards.

Role Accountabilities and Responsibilities

  1. Transferee Interaction: The Move Coordinator makes initial contact with transferees, providing essential information about the move process. They also follow up with transferees to confirm or update details throughout the span of the move.
  2. Building Relationships: Developing positive working relationships with each National Account is crucial. This involves anticipating and responding to clients’ and transferees’ needs promptly and efficiently.
  3. Understanding Contracts: The Move Coordinator must thoroughly understand all aspects of each National Account contract. They ensure that each move adheres to the account’s specific needs.
  4. Compliance and Coordination: Move Coordinators interact with various teams, including Branch offices, Planning, National Sales, Rating, and Risk Management. Their goal is to guarantee that each move complies with account standards.
  5. Proactive Approach: The Move Coordinator must work proactively to meet Budd Van Lines standards. They respond immediately to inquiries related to claim status and account billing.
  6. Communication: Move Coordinators must communicate information about account/client satisfaction and service issues to all necessary parties.
  7. Record Keeping: They maintain complete move files, recording all correspondence, authorizations, concerns, and special client needs.
  8. Job Order Updates: Timely and accurate updates to job orders are essential for efficient operations.
  9. Striving For Excellence: Through dynamic communication, the Move Coordinator will strive to receive positive move evaluations after the completion of the move.

Qualifications and Experience

  • Experience: 5 years of Customer Service Experience and/or Moving Experience
  • Proven record of organizational skills and accomplishments
  • Excellent oral and written communication
  • Computer Proficiency – ability to type 35 WPM and savvy in MS Office Suite
  • Strong ability to multi-task, meet deadlines, and attention to detail and exceptional organizational skills
