JOB PURPOSE:

Nikon Metrology is seeking an initiative-taking Front Office Operations Assistant who will work with Managers and other staff members to ensure that key administrative tasks are completed and that the business functions smoothly and efficiently.

Location:

Corporate HQ – Brighton, MI – Onsite M-F

KEY AREAS OF RESPONSIBILITY:

Front Office Operations

  • Managing front office tasks including telephone calls, visitors and incoming deliveries based on current security protocols.
  • Manage mail distribution, postage machine, internal reception mailbox and purchase of office supplies.
  • Updating Standard Operating Procedures as they evolve.
  • Assist upper-level management with correspondence and mailings.
  • Collects, and inputs departmental data.
  • Prepares and distributes reports while maintaining physical or computer files.

Departmental Support

  • Update/maintain compliance portals timely.
  • Request and review of Certificates of Insurance as required per company policy.
  • Generate, distribute, and process customer service quotations for the various customer service teams.
  • Retrieve purchase orders from customer portals for submittal to the Order Entry Department.
  • Generate and distribute customer training certificates as requested.
  • Mange, edit and distribute the company phone list.
  • Assist the Sales Order Entry/Office Manager on phone programming as needed.
  • Key point of contact for copier and printer support and maintenance.
  • Assist in maintaining company lease documentation.
  • Providing operational support to Facility Managers as needed.

ANCILLARY RESPONSIBILITIES:

  • Maintain a clean and organized area of first impression including oversight and maintenance of meeting rooms.
  • Ordering lunch for employees or visitors as needed.
  • Calling transportation for employees and visitors as needed.

QUALIFICATIONS

Essential

  • 2-4 years of proven administration support experience.
  • Proficient in Microsoft Office Word and Excel.
  • Strong communication and office organization skills.
  • Strong desire to assist colleagues and add value to the organization.
  • Strong multi-tasking capability and be receptive to system and process change.

Desirable

  • Bachelor’s degree

FUNCTIONAL COMPETENCIES:

  • Excellent communication skills.
  • Ability to work independently.

WORKING ENVIRONMENT/PHYSICAL REQUIREMENTS

  • Ability to get the mail from the mailbox every day.
  • Ability to reach, bend and stoop while filing.
