Job Description
The Office Manager is responsible for supporting the non-instructional operations and communications of Vega Collegiate Academy. Working collaboratively with the Principal the office manager will maintain and manage the front office on a daily basis, interfacing with families, managing school-wide communication, serve as the school registrar, and fill additional roles to ensure teachers and students have what they need to successfully support and educate every student.
Job Responsibilities
Front Desk Duties:
- Create a welcoming front office environment for students and families
- Monitor the front desk and main school phone line
- Inventory and maintain school supplies
- Assist with student recruitment and enrollment
- Monitor petty cash receipts and documentation
- Collect student fees
- Assist with daily attendance checks and parents about student absences
Registrar Duties:
- Manage the student file system and the student health care/medicine file system.
- Support with annual October headcount
- Support rostering
- Support with all clerical duties, including maintaining student confidentiality while filing student records
Additional Responsibilities:
- Support with teacher appreciation week
- Support with field trips
- Support with planning and execute the end-of-year celebrations/continuation ceremonies
- Assist in planning and organizing family events
- Maintain all school printers and copiers
- Support with transportation as needed
- Support with Karen interpretation and translation as needed
- Attend student home visits as necessary
- Support with library duties, including checking-in and checking-out books.
Job Qualifications
- Unwaveringly high expectations for all students with the belief that every child should have access to a college education.
- Minimum 2 years of administrative experience.
- Fluent written and spoken Karen required.
- Strong attention to detail.
- Ability to use technology seamlessly.
- Ability to work effectively under stressful working conditions.
- Initiative and strong work ethic.
- Willingness to complete certifications, including but not limited to: transportation, translation, interpretation, and First Aid/CPR. All certifications will be paid for by Vega Collegiate Academy. Time will be allotted during the work week to complete certifications as necessary; however some certification courses are required outside of working hours.
- Bachelor’s degree preferred.
Salary and Benefits
Vega Collegiate Academy offers a competitive salary and comprehensive health benefits package. The salary range for this role is $32,000 - $50,000.
