Litigation Support Specialist
THE ORGANIZATION
The Fairness Center is a nonprofit, public interest law firm that provides free legal services to those hurt by public sector union officials.
JOB SUMMARY
Based in the Fairness Center’s Harrisburg, PA office, the Litigation Support Specialist serves as the first point of contact for potential clients, maintains case databases, organizes files, and provides administrative support to the firm’s litigation team. Candidates should have exceptional interpersonal skills, strong organizational abilities, and attention to detail.
RESPONSIBILITIES
Litigation Support
- Assist in management of the firm’s litigation files.
- Perform legal inquiry intake, including handling incoming phone calls and gathering relevant documents from potential clients requesting assistance from the Fairness Center
Legal Team Administrative Support
- Proofread and format documents and correspondence and prepare mailings.
- Serve as administrative support to Litigation attorneys.
- Manage memberships, registrations, and other recurring commitments for litigation team.
- Provide direct support and assistance to the Senior Paralegal
Hospitality & Travel Coordination
- Greet visitors, answer incoming litigation-related phone calls, and deliver excellent service to clients and guests.
- Coordinate travel, including flight, hotel, car rental, and/or other reservations on behalf of litigation team.
- Coordinate hospitality tasks for litigation-related events at the Fairness Center’s offices.
- Reception duties on a rotating or backup basis
ESSENTIAL CHARACTERISTICS
- People skills and professionalism are essential, as the LSS will often be the initial point of contact for guests, potential clients, and existing clients.
- The LSS must be skilled at developing trust with all stakeholders, including and especially the litigation team.
- Confidentiality: The LSS will be in possession of confidential information and communications, including information that is legally privileged and/or sensitive strategic or business information. The LSS must be able to hold all sensitive information in strict confidence and exercise heightened caution while handling such sensitive information.
QUALIFICATIONS
- Ability to work well under pressure and to effectively prioritize multiple tasks and responsibilities in a fast-paced environment.
- Excellent interpersonal and communication skills, with a strong ability to build and maintain relationships with internal and external stakeholders.
- Attention to detail in handling correspondence and file management to fulfill the firm’s commitment to client service excellence.
EDUCATION AND EXPERIENCE
- Associates degree is a plus, but not required.
- Computer proficiency in Microsoft Office Suite applications including Word, PowerPoint, Excel, and Outlook, as well as document management and other office technologies.
