Job Description
Our client, a financial services company in Philadelphia, is seeking an Executive Assistant to join the team and work directly with & support the President, and other executives as needed. This role involves providing high-level professional and personal administrative support, managing schedules, coordinating meetings and travel arrangements, and handling confidential information with the utmost discretion.

This role is onsite 3-4 days a week.
Duties include, but are not limited to:
  • Manage the President's professional and personal calendar, including scheduling meetings and appointments.
  • Prepare, proofread, and edit documents, presentations, and reports.
  • Conduct research and compile information for various projects.
  • Arrange and coordinate travel itineraries, accommodations, and other logistics.
  • Maintain and organize electronic and physical files, ensuring easy retrieval of information.
  • Assist in the preparation of materials for meetings and other high-level presentations.
  • Act as a liaison between the President and internal/external stakeholders.
  • Prepare and distribute internal communications and announcements as directed.
  • Attend meetings as directed and follow up on action items as necessary.
  • Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Ensure compliance with company policies and legal regulations related to data protection and confidentiality.

Qualifications:
  • Bachelor's degree in business administration, finance, or a related field is preferred.
  • 3+ years of executive support experience required.
  • Exceptional organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Proficiency in iOS
  • Strong written and verbal communication skills.
  • High level of professionalism and ability to maintain confidentiality.
  • Strong problem-solving skills and attention to detail.
  • Ability to adapt to changing priorities and work effectively in a fast-paced environment.
  • Excellent interpersonal skills and the ability to work collaboratively with a diverse group of individuals.
