This is an ON-SITE role, working out of our Corporate office in Columbus, Ohio.
The Office Manager acts as a key Improveit Brand Ambassador, being the first point of contact with employees entering the building, guests visiting the corporate Office, or anyone calling the main IHR office lines. Visitors include vendors, service providers, maintenance staff, customers, job applicants, and a variety of other individuals who need to visit for business-related purposes. The person in this high-impact role always exhibits a positive attitude and professional demeanor both on the phone and in person and focuses on providing an efficient and organized office environment.
The Office Manager assists the President and CEO with various administrative and clerical tasks, as well as supporting the Director of Human Resources, the Executive Team, and Departmental Managers with items related to interviews, travel arrangements, and other miscellaneous administrative support.
The Office Manager ensures employee and facility safety by not permitting unauthorized access to the building through the secured front door access. This individual supports optimal office efficiency through the timely ordering of required office supplies and supports the maintenance of the building by capturing and communicating necessary fixes and repairs to the appropriate contacts. The Office Manager also manages the company that provides cleaning services, focusing on providing a clean, safe, and orderly work environment.
  • Act as a key IHR Brand Ambassador, always representing the company positively and professionally, both on the phone and in person.
  • Answer the main phone line and route calls using the switchboard and call routing capabilities according to established SOPs.
  • Manage office entry and respond to all visitors in a timely fashion, according to target response times and security protocols.
  • Manage incoming and outgoing correspondence, including mail, emails, and miscellaneous inquiries.
  • Oversee the day-to-day activities of the office as the main point of contact in the reception area, keeping management informed with routine and requested reporting.
  • Oversee visitors’ experiences. and ensure a personal, friendly experience for anyone coming into the corporate office.  
  • Maintain an optimal office environment by keeping the appearance of common areas neat and organized and enforcing the required office-related procedures needed to preserve consistency in this area.
  • Handle all assigned types of company and customer correspondence, as well as manage filing systems and company lists and records, as assigned.
  • Provide direct administrative support to the President and CEO, as well as the Executive Management Team and Dept Managers, as needed. This support includes scheduling appointments, meetings, and events, booking travel, maintaining filing systems, mailing / shipping packages, and updating our CRM or other systems, lists, documents, records, and reports.
  • Oversee and maintain select types of office equipment for uninterrupted function, collaborating with IT as necessary.
  • Identify and fulfill office supply needs, maintain, and manage a variety of office-related vendors, and coordinate food delivery as needed.
  • Support all aspects of the office’s space/infrastructure  (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested.
  • Oversee facilities management, such as the office cleaning company, having lightbulbs changed, plumbing issues, heating/cooling issues, trash pickup, pest control, vending machines, landscaping, etc.
  • Collaborate with the Director of HR to update and maintain office policies and procedures and special projects as needed.
  • Other duties, as assigned.
     
Required Skills:
  • Robust organizational skills with a strong ability to multi-task.
  • Detail-oriented with a high level of accuracy.
  • Strong aptitude to communicate effectively with internal and external stakeholders.
  • Proficient in using office software, such as Microsoft Office Suite, including the ability to create and maintain spreadsheets and documents.
  • Keen ability to effectively handle a switchboard or multi-line phone system and route calls efficiently.
  • Highly proficient in using office machines such as copiers, fax machines, calculators, labelers, laminators, etc.
  • Exceptional time management skills and ability to prioritize tasks effectively, ensuring deadlines are met.
  • Highly dependable and capable of working independently, taking initiative, when necessary, while also effectively collaborating with colleagues across different departments.
  • Ability to always maintain a professional demeanor and decorum, and maintain confidentiality, handling sensitive information with discretion.
  • Ability to work in a fast-paced environment with little direction.
  • Strong ability to take initiative and be a self-starter.

Education and Experience:
  • High School Diploma
  • 3 – 5 years’ experience as Receptionist/Administrative Assistant or Office Manager, preferable in the construction or home services industry.
