Your Opportunity + Impact

The Program Coordinator uses demonstrated experience to improve efficiency and production of a designated group. Uses autonomy in their job scope to collect, review, and analyze data to support and assist assigned internal and external clients. Responds or routes priority or confidential inquiries from external or internal sources with correspondence or other message on behalf of the division leaders.

Key Responsibilities

  • Support department and division goals by proactively streamlining productivity with proposals, business planning, client interaction, and day to day operational tasks.
  • Works closely with Program Manager, Project/Technical Manager to assist with client needs. May require frequent client interaction/meetings and internal meetings to monitor contract specifications, budget, and time commitments.
  • Coordinate project duties, timelines, and requested reporting for internal/external client which includes QA/QC review, project schedules, cost estimates, travel and off-site meeting arrangements, etc
  • Provide financial reporting assistance, project set-up, billing assistance, and invoice reviews in coordination with Financial Analyst and Project Managers.
  • Help build positive relations within internal and external teams.
  • Coordinate schedule, file sharing, compiling & assembling reports, coordinating large production jobs, printing & binding, logging RFI’s & submittals.
  • Interact professionally with clients, vendors, and other external sources when providing necessary information. Develops and maintains client relationships. 
  • Manages workload by prioritizing work and ensuring deadlines are met.

Education and Experience

  • Education: Associate or Bachelor’s Degree in Business or related field preferred.
  • Experience: Minimum of five (5) years’ experience. Preferred experience with an A/E/S firm

Preferred Qualifications

  • Strong to advanced knowledge with Microsoft office products.
  • Must possess the ability to work both independently and as part of a team, multitask, and have
  • flexible schedule to meet deadlines.
  • Strong interpersonal skills, ability to interact professionally with clients, vendors, and other external sources in a professional manner.
  • Displays strong knowledge of the technical requirements of the business
