Job Description

The Payroll Analyst is responsible for timely and accurate multi-state payroll processing for 1,500+ employees while following company policy and procedures along with federal and state regulations. This is a 'hands-on' position, and in coordination with Human Resources oversees the preparation, documentation and disbursement of all payroll checks, direct deposits, employee and employer taxes, retirement contributions as well as other benefits. This position works closely with business partners to respond to all payroll needs and responds to questions and requests as efficiently as possible. The Payroll Analyst reviews, monitors, and documents all payroll related processes and procedures ensure the integrity of payroll operations and reporting. The right person for this position will have the ability to communicate with team members of all levels.

Duties and Responsibilities

Processing & Reporting

  • Collaborator on payroll processing, payroll records, and payroll data.

  • Assist with entry and audits to accurately process semimonthly disbursement to 1,500+ employees consistent with federal, state, and local wage and hour laws.

  • Audit timekeeping records for compliance with established standards and company policies.

  • Provides input on auditing processes to the ensure the integrity of payroll system data relating to employee wages, benefits, and PTO time,exemptions, insurance deductions, job titles, and departments.

  • Review and verify wages computed by payroll system using audit reports and follow through on error corrections prior to processing each semi-monthly payroll.

    • Assist Senior Payroll Analyst to ensure accuracy and compliance regarding employee pay, including all wage adjustments, bonuses, garnishments, benefits, and taxes.

  • Record and monitor employee reimbursed expenses and enforce Company policy on allowed/proper reimbursements.

  • Independently works with third party payroll processor to ensure registration of all city, county, state and federal taxes.

  • Coordinate with accounting team for payroll-related monthly, quarterly, and year end reporting including payroll G/L account reconciliations.

  • Assist with the preparation of internal payroll reports, including weekly, monthly, quarterly, year-end reports, and ad-hoc reports as requested by management (gross payroll, hours worked, PTO accrual, tax deductions, benefit deductions, etc.).

  • Assist in preparing and maintain all reporting and statistical questionnaires for government agencies.

  • Collaborates with Senior Payroll Analyst to maintain records of leave pay and nontaxable wages.

  • Provide assistance with third party vendors in the preparation and dissemination of payroll.

  • Work with Human Resources on a regular basis to assure complete coordination of pay, benefits, and deductions procedures.

  • Collaborate with 3rd Party Payroll Processor, Treasury, and Accounts Payable on third party remittances (tax agencies, regulatory agencies, benefits/insurance vendors, etc.) to ensure that payments and pay checks are delivered on time and accurately.

  • Communicate actively with Operations, Human Resources, Finance, and other key departments to review cross-departmental impacts, reconcile all payroll reporting, and resolve payroll problems.

Payroll Taxes & Regulatory Compliance

  • Ensure compliance with federal, state, and local laws and regulations on an ongoing basis and take necessary steps to implement change.

  • Provide direction, support, and guidance to Human Resources and management regarding regulatory changes.

  • Coordinate with Human Resources, Finance, and external auditors on the annual 401(k) audit to provide information in a timely manner.

  • Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.

Policy & Procedure

  • Review and analyze current payroll, benefits, and tax procedures in order to recommend and implement changes leading to best-practice operations.

  • Follow and continue to evaluate procedures for auditing of timekeeping records for compliance.

  • Assist with the documenting of standard operating procedures, ensuring accurate collection of inputs, and monitoring of effective audit controls.

Minimum Qualifications

  • 1 - 3 years overall payroll experience.

  • Experience payroll processing for at least 1,500 employees.

  • Payroll Processing experience in a multi-unit, multi-state environment.

  • Experience working with a third-party payroll processor.

  • Experience working with the payroll of varied employees including executive, bonused, exempt and non-exempt employees

  • Knowledge of statutory requirements related to pay, wage and hour, health and welfare, and multi-state payroll tax.

  • Knowledge of overall HR business process delivery model helpful.

  • Ability to interpret and apply federal, state, local income, and social security taxes.

  • Experience with multiple bonus plans.

  • Complete understanding and practical application of best practices for all payroll processing, payroll systems, payroll accounting, and payroll tax.

  • Experience in the financial services industry and experience in a public company a plus.

  • Demonstrated analytical capacity and strong business/financial acumen.

  • Technically savvy and proficient in Microsoft Office programs, including excel.
