Job Summary
Responsible for creating and ensuring accuracy of all account processing documents and invoicing, upholding carrier, vendor and export partner relationships, and assisting with inventory, reporting, and month end closings.
Summary of Essential Job Functions
- Dispatch trucks from multiple warehouses
- Creates and submits invoices for co-products, such as liquid fertilizer and Prosin, and ensures inventory matches invoicing
- Assists with the budget, sales, and pallets report for month end closing
- Completes the usage decision for liquid and bulk product in the system according to company policy
- Coordinates domestic rail shipments and export products with Cargill
- Assists and collaborates with other departments reworking pallets in the MES, WMS, and SAP systems
- Communicates and coordinates with CJ Mexico and Brazil on orders and billing
- Prepare monthly expense documents, which includes actual expenses, accrued expenses, posting expenses in SAP, and preparing payment approvals
- Participates in the monthly closing process
- Assist with internal audits, which may include but isn’t limited to counting inventory and checking warehouses
- Assists with inventory planning and reporting
- Update system to record all orders and related information
- Ensures all invoicing discrepancies and inquiries are resolved
- Communicate directly with vendors and carriers on payment and billing issues
- Perform day to day invoice processing in SAP; including to verify, classify, and record accounts payable data
- Prepare excel files to avoid invoice duplication and discrepancies
- Assist in generating standard operating procedures and manuals
- Works to resolve any billing/invoicing issues
- Assist in projects pertaining to reports and invoicing
- Assist with the training of new team members as needed
- Assists with month and year end closing on the last day of every month
- Performs other duties as assigned
Knowledge, Skills, & Abilities
- Enterprise Resource Planning (ERP) knowledge, such as SAP;
- Data entry;
- Proficient with Microsoft Excel;
- Computer skills, i.e. Microsoft Office;
- Strong verbal and written communication skills;
- Critical thinking, multi-tasking and decision making skills;
- Ability to maintain strong internal and external relationships;
- Ability to maintain confidentiality;
Physical Demands & Work Environment
- Work Schedule: Monday-Friday, 8:00am-5:00pm, unless business needs require additional hours worked
- This position is responsible for and expected to work extended hours during month and year end closing on the last day of every month
- This position primarily operates in an office environment. This role routinely uses standard office equipment such as computers, phones, filing cabinets and fax machines. Occasional exposure to warehouses and production areas may be expected.
- Ability to work in a stationary position for up to 95% of their shift;
- Travel is not expected for this position;
- This position does not supervise the work of others;
- Ability to ascend/descend stairs;
- Ability to lift up to 50lbs;
Education and Experience:
- Bachelor’s Degree
OR
- Associates Degree & 2 years of directly related experience
OR
- High School Diploma/GED & 4 years of directly related experience;
- SAP experience preferred;
- Microsoft Excel experience preferred;
- Data entry experience preferred;
