Position Summary:

The Clerical Assistant will perform a variety of clerical duties for both the Marketing and Business Development and Legal Talent Departments. The Department Clerical Assistant will complete scheduling, correspondence, various accounting functions, and other clerical tasks as needed in a timely and accurate manner.

Essential Functions:

  • Maintain Department calendars and assist with scheduling requests, including supporting both Departments with interview scheduling and other internal meetings.
  • Support both Departments with Continuing Legal Education applications and tracking, as well as other professional certification programs for both internal and external programming.
  • Process invoices and expenses reimbursements on behalf of both Departments, including credit card reconciliation.
  • Maintenance of business development and legal talent databases and reports.
  • Support both Departments with travel arrangements, including candidate travel.

Knowledge, Skills and Abilities Required:

  • Strong editing and proofreading skills
  • Ability to multi-task, prioritize, organize work flow and use time efficiently
  • Maintain focus and produce high-quality work under pressure
  • Strong communication skills, both verbal and written
  • Adaptable to changing priorities and deadlines
  • Superior attention to deadlines and details
  • Highly responsive, motivated and flexible

Knowledge, Skills and Abilities Desired:

  • Basic knowledge of HTML and familiarity with Hubspot's CSS and publishing systems
  • Familiarity with CLE and other applications
  • Familiarity with basic accounting and expense reconciliation processes

Education and Experience:

  • High School Diploma or Equivalent.
  • No Prior Experience Required.
