Summary: Supervises and coordinates activities of workers engaged in maintaining and repairing physical structures of buildings and grounds by performing the following duties. Essential Duties and Responsibilities include the following. Other duties may be assigned. Responsible for quality control of work done within zone. Responsible for proofing time sheets to ensure data is honest, accurate and turned in promptly. Takes initiative to identify future projects and needs. Responsible for updates to owner liaisons and directors on projects and major tasks. Maintains HOA building plan archives. Assist with new employee. Assist with new employee recruiting and on-boarding. Assist with employee staff discipline and personal record keeping. Works to maintain HOA budgets. Must demonstrate sufficient mastery of software to be able to teach work order and time keeping to new employees. Coordinates purchase of uniforms. Maintains automotive records for department. Enforces safety policies. Inspects properties and identifies needed projects. Provides updates to HOAs and upper management. Oversees Maintenance department. Responsible for hiring and training of Maintenance Leads. Coordinates with VP of Operations to achieve HOA goals. Develops long term goals for department. Ensures that company policies are being adhered to. Promotes a culture of safety. Approves PTO request for all maintenance staff. Directs workers engaged in cleaning, painting and performing structural repairs to masonry, woodwork, hardware and furnishings of buildings and units. Directs workers engaged in ground maintenance activities, such as snow removal, mowing lawns, trimming hedges, removing weeds, and raking and disposing of leaves and refuse. Hires quality employees, trains, and actively participates in planning, assigning, and directing work; appraising performance; addressing complaints and resolving problems. Assigns, prioritizes and ensures all work orders are satisfactorily completed. Will prioritize work orders in order of importance before assigning to staff, while maintaining the priority of larger, on-going projects. Maintain a pleasant and efficient working atmosphere with all staff members through open lines of communications. Develops and implements training procedures to assure development and retention of a quality work force, and to ensure health and safety protocols are followed by all staff. This includes initial training and orientation for new staff, as well as ongoing training for experienced staff. Maintains high quality standards for the buildings, grounds and mechanical plants, ensuring that public areas, rental units, buildings and grounds meet first class standards at all times. Coordinate a preventative maintenance program to ensure that each property and unit is kept in excellent shape. Take property inspections on a regular basis to assure quality of work being completed. Implement a system to alert owners and Owner Liaisons/General Managers of potential problems that might arise. Build and maintain a working relationship with vendors to achieve optimal service levels in daily and emergency situations Requisitions, tracks, & maintain tools, equipment and supplies for department. Tracks and maintains sufficient supply inventories for maintenance work orders and unit materials. Inspects completed work for conformance to reasonable specifications and standards. Studies production schedules and estimates worker hour requirements for completion of work orders (job assignment). Interprets company policies to workers, monitors and enforces safety regulations. Establishes or adjusts work procedures to meet production schedules, while never sacrificing safety. Suggests changes in working conditions and use of equipment to increase efficiency of work crew. Analyzes and resolves work problems or assists workers in solving work problems. Initiates or suggests plans to motivate workers to achieve work goals. Maintains time and production records and inputs data into our Work Order Module in TRACK software. Ensures these records are maintained on a daily basis, legible and consistent with work order billing. Work orders shall be organized and include all materials and information necessary for accurate billing. Performs activities of workers supervised. Must maintain a satisfactory driving record and valid drivers license in order to comply with our insurance requirements of non-livery drivers. Drives to and from properties in a safe and lawful manner. Always being mindful of safety and adherence to the rules of the road.
