What You'll Do
The Donor Administration Supervisor is responsible for leading a team of Donor Administration associates who are responsible for establishing donor accounts, ensuring donations are properly matched and recorded, providing the external acknowledgement of such donations, and other such tasks that are required in order to ensure donor satisfaction in our Donor Advised Funds ("DAF"). The Donor Administration Supervisor is also responsible for collaborating with the Donor Administration Director in reviewing current processes and programs,
implementing changes to improve the efficiency and effectiveness of operations, and coaching other members of the team to assist with professional development.
Position requires a hybrid work model with three days in-office per week.

Duties/Responsibilities:
  • Provide daily guidance and coaching to junior members of the group, including acting as an escalation point of contact for internal and external issues.
  • Assist with the training and development of the Donor Administration team.
  • Provide ongoing feedback and prepare annual employee performance reviews.
  • In conjunction with the Team,
  • Ensure all new accounts are opened, and verify that all data is complete and accurate, within the established service level timeline for each National Philanthropic Trust ("NPT") program.
  • Ensure the complete, accurate and timely processing of all cash, security, and property contributions into DAF accounts from donors in accordance with established service levels for each program at NPT.
  • Process account updates, as necessary, in the system of record.
  • Prepare and/or review donor gift receipts.
  • Assist the Donor Administration Director as needed with special assignments and projects, including acting as the Donor Administration point of contact for other NPT teams.
  • Communicate with financial advisors and donors, as necessary, to resolve issues, address inquiries and provide general support.
  • Ensure the timely resolution of donor, financial advisor and/or Financial Service Partner inquiries related to donor-advised funds.
  • Track, escalate and resolve emails, fulfillment requests and issues through a Salesforce case management system.
  • Primarily responsible for managing the Salesforce case queue, allocating and assigning cases to the team based on workload and subject matter expertise.
  • Work with the QSC ("Quality Steering Committee") Team to ensure that the Donor Administration's SOPs and Training Documents are prepared and published.
  • Working with Manager to evaluate the needs for seasonal staff, developing training materials and onboarding seasonal staff and new team members.
  • Demonstrate sound business judgement to recognize issues that should be escalated to subject-matter experts for further handling.
  • Attend and participate in all relevant meetings and training sessions.

Supervisory Responsibilities:
  • Assist with Recruits, interviews, hires, and trains new staff.
  • Oversees the daily workflow of the department.
  • Provides constructive and timely performance evaluations.
  • Completes 90 day and annual performance review.
  • Hold regular weekly 1-1 meetings with staff.
  • Set yearly goals with the employee(s).
  • Approve time off requests and manage employee overtime and PTO, etc.

What You Bring:
  • Bachelor's degree (General Business, Accounting, or Finance) preferred, or equivalent professional operational experience.
  • Minimum of 5 to 7 years of relevant experience, preferably within the financial services/investment services industry
  • Experienced Leader, with a minimum of two (2) years of supervisory experience.
  • Ability to discern and adapt to variable volumes of work including periods of very high volume.
  • Strong organizational and time management skills
  • Detail oriented, capable of multi-tasking in a daily, deadline driven department, while keeping others well-informed
  • Excellent verbal, writing, interpersonal communication and proofreading skills
  • Highly proficient in Microsoft office suite, particularly Excel
  • Skilled problem-solver
  • Both a team player and capable of independent work
  • Demonstrated ability to take initiative, anticipate needs and exercise independent, sound judgment.
  • Self-motivated and self-directed with a strong work ethic
  • Demonstrated ability to prioritize work.
  • Flexibility and adaptability to changing work environments.
