Description

SUMMARY OF POSITION:

This position will oversee the day-to-day operations of the corporate office and provide administrative support to the senior leadership team.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

* Office Management:

o Manage the purchasing and inventory of office supplies.

o Oversee the general maintenance and cleanliness of the office space.

o Coordinate office repairs and maintenance, liaising with vendors including building management.

o Serve as the primary point of contact for employees regarding office-related inquiries.

* Calendar Management:

o Manage and prioritize company calendars, including scheduling meetings, appointments, and travel arrangements. This includes managing scheduling conflicts and proactively resolving issues to optimize productivity.

* Communication and Correspondence:

o Facilitate internal communications through company announcements, newsletters and other channels.

o Distribute mail at the corporate office.

* Meeting Coordination and Support:

o Prepare meeting materials and presentations as needed.

o Attend meetings and follow up on action items to ensure timely completion of tasks.

o Arrange and reserve meeting space, including catering and audiovisual equipment setup.

o Assist with the planning and organization of company events, meetings and team building events.

* Travel and Expense Management:

o Coordinate complex travel itineraries, including flights, accommodations, and transportation arrangements.

o Process expense reports in a timely manner, reconciling receipts and ensuring compliance with company policies.

* Confidentiality and Discretion:

o Handle sensitive information with the utmost discretion and maintain confidentiality at all times.

o Exercise sound judgment in decision-making and escalate issues to executives as needed.

* Special Projects and Initiatives:

o Support executives in special projects, research, and initiatives as assigned.

o Collaborate with cross-functional teams to drive key initiatives forward and achieve organizational goals.

QUALIFICATIONS & SKILLS:

* Bachelors Degree in business management, management, or a related field preferred

* 5+ years of relevant experience

* Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.

* Excellent communication and interpersonal skills, with the ability to interact professionally with stakeholders at all levels.

* Proficiency in Microsoft Office Suite and other relevant software applications

* High level of integrity and professionalism, with a commitment to maintaining confidentiality.

* Adaptability and resourcefulness to thrive in a fast-paced and dynamic work environment.

* Ability to work independently with minimal supervision and as part of a team.

* Attention to detail with a high level of accuracy in all work tasks.

* Valid Driver's License

* Position does allow for limited work from home but will be expected to physically work in corporate office 4 out of 5 days a week.

Frequently required to sit, stand, walk, handle objects, reach with hands and arms, write, talk, type and hear. Associate is occasionally required to sit, stoop, bend and/or kneel and lift and/or move up to 35 lbs.
