Job Description

Purpose: To assist community with the day-to-day building operation and, in particular, resident relations. The Concierge greets residents and receives maintenance requests and determines if the request is an emergency, reacting appropriately. The position is responsible for the accountability of various resident parcel deliveries. The Concierge is responsible for greeting all visitors and determines whom the guest wishes to see and the nature of their business and directs them accordingly. The Concierge answers all incoming community calls and routes to appropriate person or location and takes messages as necessary. The position maintains pertinent telephone and visitor records.

Authority Level: The Property Manager supervises the Concierge. When the Property Manager is not present or available during any normal period of operation, the Concierge reports to the Assistant Property Manager or Regional Property Manager.

Physical Requirements: Ability to sit for extended periods of time.

Responsibilities

  • The Concierge greets residents, customers, vendors, and visitors determining the nature of their business and directs them accordingly.
  • Receives maintenance requests from residents and determines if the request is an emergency, reacting appropriately.
  • The position is responsible for the accountability of various resident parcel deliveries and contacting the resident to inform them of the delivery.
  • The Concierge answers community calls and routes to the appropriate person or location taking messages as necessary.
  • The position maintains pertinent telephone and visitor records.
  • Ensures that resident correspondence is accurately placed in resident mailboxes, if applicable.
  • Maintain resident telephone listing.
  • Work with Property Manager to develop, schedule, and host resident functions.
  • Enter Maintenance Service Requests in Yardi, as directed.
  • Assist residents with various tasks including making reservations, arranging spa services, and taxi/transportation services.
  • Other duties as assigned.


Required Experience/Skills

Minimum 6 months of reception or office experience. Basic knowledge of appropriate and effective conduct during emergency situations; Demonstrated organizational and administrative abilities; Excellent phone etiquette, interpersonal, verbal/written communication skills; Professional appearance; One year previous experience with multi-line phone system and/or customer service.

Required Education

High School Diploma or equivalent.
