Position Overview

We are seeking a highly organized and detail-oriented individual to join our team as an Office Assistant. As the Office Assistant, you will play a crucial role in ensuring the smooth and efficient operation of our office. You will perform various administrative tasks, assist in managing office supplies, and provide general to employees and visitors. The ideal candidate is reliable, adaptable, and possesses excellent communication and organizational skills.

Performance Responsibilities

  • Perform general administrative tasks such as answering phone calls, taking messages, and handling correspondence.
  • Greet and assist visitors in a professional manor, ensuring they are directed to the appropriate person or department.
  • Maintain office cleanliness and orderliness including organizing and tidying up common areas.
  • Manage incoming and outgoing mail, including sorting distributing and preparing packages for shipment.
  • Maintain office supplies inventory and place orders as needed, ensuring adequate stock levels.
  • Assist in managing and organizing company events.
  • Maintains the Office Google calendar.
  • Manages the Promo Room, orders from vendors and other offices.
  • Distribute faxes, manage office supplies and copier
  • Provide administrative support to executives and managers, such as preparing reports, presentations, and meeting materials.
  • Stuffs AP checks while checking for accuracy.
  • Aids in Accounts Receivable duties by checking statements and vendor invoices
  • Invoices branches for monthly services
  • Mange GPS additions and deletions
  • Letterhead and business card orders
  • Assist in management of controllable office expenses
  • Maintain office equipment and ensure it is serviced properly to ensure a maximum life span
  • Must take a minimum of one approved professional development class per quarter.
  • Play an active role in a community/ civic organization of your choice annually.
