Summary

This position will support the firm's diversity, equity and inclusion (DEI) initiatives by developing content to educate firm constituents, clients, and candidates about DEI topics and firm DEI efforts and providing administrative assistance to the Diversity & Inclusion Department.

Required Education & Experience

  • Bachelor's Degree or equivalent work experience.
  • 0-2 years of experience in DEI, Human Resources or related field.
  • Strong attention to detail and organizational skills.
  • Possess a sensitivity to diversity issues and dynamics.
  • Experience in developing and curating learning journeys and substantive resources
  • Have the ability to be discreet, maintain confidential information, and use sound judgment.
  • Have knowledge of Microsoft Word, Power Point, Outlook, Excel spreadsheets, SmartSheet and Internet resources and researching.
  • Be willing to travel (up to 20% of the time) and work occasional evenings and weekends as needed to fulfill position responsibilities.

Preferred Education & Experience

  • DEI Certification or related coursework preferred.
  • Large law firm experience a plus.

Essential Functions

  • Diversity & Inclusion (60%)
    • Coordinate all logistics, prepare agendas, and keep minutes of all diversity-related committees, employee resource groups, networks, and task forces.
    • Help gather and track relevant demographic statistics for analysis, reporting and presentations.
    • Prepare diversity surveys, client questionnaires, and requests for diversity information in RFI/RFPs and client pitches.
    • Identify opportunities to promote the firm's brand (diversity awards, speaking engagements and other diversity-related recognitions).
    • Oversee and support the coordination of diversity-related events which may entail reserving space, sending electronic invitations, coordinating room set up, ordering food from diverse suppliers, organizing materials, providing audio/visual set up, and other logistical needs.
    • Research and compile information for various diversity projects.
    • Assist with preparation, ordering and inventory of marketing materials.
    • Help research and write marketing pieces, including the diversity and inclusion newsletter, social media posts, and articles.
    • Prepare department documentation, including Word documents, Excel spreadsheets and PowerPoint presentations.
    • Create and submit invoices and expense reports; track department expenses; and perform other minor accounting tasks.
    • General office administrative tasks (filing, copying, typing, preparing letters, making travel arrangements, scheduling meetings, data entry, note taking).
    • Develop and maintain the department's project roster and perform related project management duties.
    • Assist with logistics for off-site meetings and conferences.
    • Assisting with other ad hoc projects and firm initiative projects as needed.
  • Learning & Development (35%)
    • Work with the Diversity & Inclusion team to develop and identify DEI awareness programs.
    • Assist in designing and developing training curriculum on DEI topics for firm constituents.
    • Research and identify presenters, speakers, and facilitators for DEI programs.
    • Assist in planning and executing Diversity Week programming and materials.
    • Prepare and post DEI content and materials on the firm's intranet site.
    • Manage the learning, development, and tools for the Allies Network.
    • Assist other administrative departments and attorney groups in creating or incorporating diversity and inclusion content for their programs and events.
  • General and Administrative (5%)
    • Performs other duties as assigned.

Work Environment & Physical Demands

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. While performing the responsibilities of the position, these work environment characteristics are representative of the environment the person in this position will encounter. While performing the duties of this job, the employee will work in a professional, fast paced office environment that may require additional hours to complete work.
