Position Title: Marketing Production Assistant (Promotions & Entertainment)

Reports To: Promotions and Entertainment Manager

Supervises: N/A

Summary of Position

The Production Assistant is responsible for assisting with all promotions, special events, concerts and assisting with data base updates, along with producing and processing purchase orders and receiving orders, from inception to completion. The Production Assistant will work closely with the Promotion and Entertainment Manager, Coordinator and the Data Base Manager. Other special projects and duties that are assigned as needed for the business as needed.

The Production Assist will assist the Advertising staff as needed, in the production and finishing of internal and external print jobs. They would be responsible for distributing several communications pieces issued by the marketing department such as poster, duratrans, mailers, and the team member newsletter.

  1. Essential Duties and Responsibilities include the following and are subject to change at management’s discretion:
  • Coordinates the administrative functions of the Promotion and Entertainment Department
  • Orders supplies, materials, etc for the Promotions and Entertainment and all promotional items
  • Provides calendar updates to the Promotions and Entertainment Team, Advertising and Graphics Team and Marketing Director
  • Provides Monthly surrounding Chamber Events schedule to Promotions and Entertainment Team and Director
  • Responsible for running assigned casino promotions
  • Maintain Promotions and Entertainment Checkbook, to assure all promotions and entertainment cost are within budget
  • Double check all monthly Local MGT reward offers entered into MGT Promo45
  • Breakup all Local and Out of Town Mail List to be imported into MGT for reward offers
  • Double check all monthly local and out of town rewards in the IMG App.
  • Must be able to attain knowledge to run MGT programs, KMAN, IMPORT TOOL, PROMO45 and EDRAW
  • Must be able to attain knowledge to run Oasis Superplaymate, Omni View, Marketing Floor Scan
  • Write rough drafts of monthly Gaming Submissions
  • Must be able to answer any questions on the set up of a promotion
  • Must be able explain in full detail how a promotion/drawing/offer should be run through the systems, MGT or Oasis Superplaymate
  • Knowledge of the Apache Spirit Club levels and benefits program is required
  • Must be able to obtain knowledge of Apache Spirit Club Supervisor to assist at the ASC booth when needed
  • Assist Coordinator in maintain and organizing storage areas
  • Assist with delivering promotional items to ASC booths
  • Create, print and deliver entertainment meal tickets for all scheduled entertainment
  • Must be able to attain the knowledge to run Ticketmaster programs, TMWIN, TMONE and TM99
  • Responsible for printing monthly Council and Casino Host Comp Tickets
  • Responsible for opening and closing box office during assigned concerts/events
  • Responsible for collecting and depositing merchandise cash percentage from concerts/events when assigned
  • Maintains Social Media Winners log for Entertainment tickets
  • Works with Advertising to schedule Social Media post for Promotions and Entertainment
  • Maintain all Entertainment folders after the event/concert to assure all documents are filed
  • Assists in executing Special Events and Casino Host Events
  • Distributes monthly marketing promotions to Back of the House and Front of the House staff including Management
  • Ability to work with outside vendors
  • Assist with data entry
  • Assist with correcting bad addresses in database
  • Must be able to handle more than one function at a time by being well organized and paying attention to details
  • Must be able to work the following equipment: computer, telephones, copier, fax, typewriter, and paper cutter
  • Must be highly proficient in all Microsoft Office programs, Excel, property telephone systems
  • Must have manual dexterity to operate the computer and necessary office equipment
  • Must maintain confidentiality of sensitive material
  • Must be able to move in and around quickly on the casino floor
  • Must be able to stand for several hours
  • Must be able to lift over 50lbs.
  • Must be able to meet the department standards, attendance and appearance guidelines, and adhere to departmental and company policies
  • Must be at least 21 years of age Must be able to read, write, speak, and understand English

  • Ability to work extended hours when required including weekends and holidays.
  • Excellent guest service, interpersonal, communication, team building, and problem solving skills are required
  • Assist with changing of the collateral signage throughout the Inn of the Mountain Gods and Casino Apache Travel center properties as scheduled and on time as needed
  • Assist graphic designers with finishing printing as needed
  • Minimum of one year experience in Casino Marketing, Gaming, or Casino Services experience preferred
  • Adheres to all regulatory, departmental and casino policies and procedures, and to the casino Internal Control Structure.
  • Reports illegal or suspicious activity to Security, Gaming and the appropriate levels of Management

  • High school diploma or GED required; Preferably fluent in both Spanish and English; Must be able to obtain and maintain a gaming license; Mescalero Apache Tribal preference; Bicultural experience preferred; Must be highly proficient in all Microsoft Office programs, Excel, photo shop, property telephone systems, Basic Knowledge in Ticketmaster and Oasis is Preferred; Must have or be able to obtain a NM Driver’s License.
