The Cove Inn is a condominium hotel located in Naples, Florida. The community consists of 102 condominium units that are separately owned, as well as perimeter properties which include (but may change in name from time to time) the Coffee Shoppe, Dock Restaurant, Boat House Restaurant, Chickee Bar, the Nautilus Club, and the Cove Inn Marina Association.

The Cove Inn functions as an operating hotel and a place of public accommodation. Most, but not all, of the units, participate in the “rental program” whereby the individual units are offered to outside guests as a hotel operation in the traditional sense of the phrase. The perimeter properties are separately owned and operated “for profit” businesses.

The front desk agent must have a positive and professional personality to deliver an exceptional experience to every guest at our hotel. You’ll welcome guests, manage their information, distribute their keys and room assignments, and answer any general inquiries to ensure they have an excellent stay with us. Brilliant communication skills, a strong work ethic, and a commitment to guest satisfaction are required.


PERSONAL QUALIFICATIONS:


· Be honest, reliable, and flexible during vacation schedules, natural disasters plus emergencies.

· Be ready to begin work at the specified time

· Be well groomed and aware of personal hygiene; adhere to dress code policy

· Always offer courteous and sincere hospitality

· Understand what is meant by “good customer service.” (The public will be assured of uniform, efficient, courteous, high-quality service in addition to properly working equipment at the property.)

· Communicate and work well with supervisor and hotel employees

· Take pride in the property and keep it clean and in good repair

· Use good judgment and common sense

· Keep all business confidential both on and off-duty


Essential Functions and Responsibilities:

  • Greet, check in, and check out guests and owners when they arrive and leave the premises, distribute keys, and room assignments, and record credit card information
  • Manage room bookings in-person, online, and through incoming calls, and answer inquiries about guests’ needs, including questions about available rooms, amenities, room rates, special requests, and rewards programs
  • Manage Condo Association rental unit owner reservations as needed and verify each unit owner completes the housekeeping upon arrival. Acknowledge the Sept. 15 deadline for condo unit owners’ seasonal reservations.
  • Get all required information for reservations: Name, Address, Phone #, Email, and Credit Card information.
  • Validate all arrivals with proper ID and payment at check-in.
  • Balancing of each shift property management system check-in and check-out of the shift
  • Counting of cash register before shift team member departs
  • Work with the housekeeping staff to ensure rooms are departed daily with verification from the executive housekeeper
  • Work with the maintenance staff to provide maintenance requests promptly, place the unit out, prepare a maintenance work order, verify completed by Management, verified cleaned by the Executive Housekeeper before placing the unit back in service. Communication via cove-all@coveinnnaples.com helps for unit status clarity and updates (always place unit number in the subject line)
  • Check bicycles in and out for guests get waiver signed and go over safety requirements
  • Check beach towels in and out for guest
  • General bookkeeping: ensure all hotel guest account information is accurate and up to date.
  • To prevent an additional 17% from TravelClick online discount can be given if the caller and you see the same rate and date available by the desk agent.
  • Limit personal cell use for emergency calls only
  • A two-week notice is required for all days off and vacation requests. All must be approved by the GM.
  • Mitigate customer complaints as needed
  • Prepare gift bags to distribute to the guests at check-in
  • Perform other duties as requested

Requirements:

• 0-1+ year experience working in a front desk receptionist capacity


• Outstanding Customer Service Skills


• Excellent Knowledge of Microsoft Suite (Outlook, Excel, Word)
