Alleviant is the largest full-service, multi-site outpatient psychiatry practice in Arkansas. In fact, we will see more than 70,000 Arkansans this year. We have become the primary referral source for many major systems in the state. We see all new patients within five days of connecting with them and provide integrative psychiatric care with longer appointment times that allow our providers time to work through the disorder and collaborate with our referral sources.

Position Overview

As the Patient Scheduling Front Desk Intake Coordinator at Alleviant Integrated Mental Health, your role entails direct communication with patients and families to assess their needs, medical background, and any specific requirements. You'll also liaise with patients or external referral sources to schedule intake appointments or reschedule existing ones. This involves phone duties, collecting patient demographics and insurance details, explaining insurance benefits and patient responsibilities for services, and processing payments in the EMR system. At day's end, reconciliation of payments for each location where appointments were scheduled, and payments processed is necessary. Strong communication skills are essential, and prior medical experience is advantageous. Duties also include compiling patient records, recording medical histories, and gathering insurance information. The position encompasses various social service tasks and requires meticulousness, self-motivation, and a personable demeanor. Work hours are from 7:30 AM to 4:30 PM.

Essential Job Functions

  • Answer and return high-volume inbound calls in a timely and professional manner.
  • Schedule appointments for patient intake and complete demographics according to policy and procedure.
  • Communicate with physicians, nursing staff and clinicians as it pertains to patient assessment
  • Follow up with referral sources with updates on referrals sent.
  • Developed personal organization and multitasking skills in a fast-paced environment
  • Maintained strictest confidentiality; adhered to all HIPAA guidelines/regulations.
  • Organized and prioritized all work to ensure that all clients were taken care of.
  • Provided support to other staff as necessary.
  • Maintained a polite and professional telephone manner.
  • Conduct follow up calls on patients according to policy and procedure
  • Confirm patient appointments.
  • Coordinate with physicians and medical groups.
  • Other duties, as assigned.

Physical Demands

  • Employee must occasionally lift and/or move up to 40 pounds.
  • Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Requires ability to work under stressful situations demanding high concentration and energy level.

Competencies (Knowledge, Skills and Abilities)

  • Basic Understanding of mental health and chemical dependency
  • Understanding of HIPAA guidelines and policies
  • Proficient in Microsoft Office (Word, Excel, Power Point, Etc.) as well as an understanding of email and attachments. Strong typing and computer application skills. Able to operate telephone, copier, and other basic business machines.
  • Understanding of documentation as it pertains to the healthcare industry
  • Ability to work with a diverse population of people

Educational and Experience Requirements

  • Minimum of at least one year healthcare experience
  • Bilingual a plus
  • Athena a plus

Job Context

Majority of the responsibilities will take place at Alleviant Integrated Mental Health Little Rock.

Facility work hours are Monday-Friday 8am to 5pm; however, individual schedules may vary. Individual responsibilities are mostly limited to providing clients outstanding, satisfactory services.

Additionally, contributing to the corporate culture and activities are expected. The atmosphere is positive, encouraging, and teamwork oriented.
