TITLE: Administrative Assistant


DEPARTMENT: Meskwaki Nation Natural Resources Department


CLASSIFICATION: Non-Exempt


DUTIES & RESPONSIBILITIES:

- Assist department Director with department and program needs;

- Provide for customer service as reception, monitor and direct phone calls and visitors to appropriate staff.

- Maintain custodial condition of office building and arrange for minor repairs;

- Serve as the purchasing officer for the department; process and manage all purchase orders, accounts payable, and travel documents;

- Serve as the "timekeeper" for department; performing all payroll processes on a weekly basis

- Create and maintain various types of department inventories

- Archive programmatic reporting in software program routinely; maintain digital and paper filing systems

- Perform "cuff" accounting of multiple budgets on a daily basis

- Assist staff in development of outreach and education materials (e.g., events, brochures, social media, and department website);

- Maintain office supply needs; process department online orders for supplies of various types

- Assist with organization of onsite events

- Other duties as assigned.


REQUIREMENTS:

  • High School Diploma or equivalent;
  • Prefer Associates Degree in Business Administration, Accounting or related discipline;
  • Three years of administrative support work experience preferred;
  • Proficiency with the use of Windows, word processing, Xcel, finance tracking software, and other office computer applications; as well as basic office management machines such as printers/copiers.
  • Must possess strong organizational and customer relations skills;
  • Must possess effective oral and written communication skills;
  • Must be dependable, possess initiative, be self-motivated in independent work, as well as be effective in working as part of a team;
  • Prefer experience in working with Native American Communities and/or knowledge of the Meskwaki culture and the Sac and Fox Settlement;
  • Must possess a valid driver's license and be insurable;


SUPERVISION:

- Supervised by the Department Director


SALARY LEVEL:

  • Salary Range: $31,578.00 - $49,860.00

Minimum of 32 hours per week required. Maximum of 33 hours per week available.
