Job Title: Behavioral Health Coordinator

Department: Behavioral Health

Reports To: Director of Behavioral Health

FLSA Status: Non-Exempt

Wage Range that the Company Expects to Pay: $28.50 - $34.64 per hour

SUMMARY

Under the direct supervision of the Behavioral Health Director, this position is responsible for supporting the day-to-day operations at a remote, telehealth health center and assists with the development and coordination of all operational projects under the Behavioral Health Department.

It is the primary purpose of CHCCC to provide the highest quality of total care possible to the patient population it serves. Such a level of quality depends ultimately on the staff's desire and ability to work together, individually, and as a team. The employee is expected to be professional, punctual, maintain regular attendance, cooperative, motivated, and organized at all times.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Additional duties may be assigned with or without prior notice.

Assists in evaluating and organizing the remote, telehealth health center operations to ensure the site is efficient and effective in creating a positive and professional patient experience and is financially viable; including collecting, analyzing, and reporting data.

Monitors telehealth center operations and is responsible for following and enforcing policies in alignment with clinical protocols. Communicate operational issues not resolved at the clinic level to the Director of Behavioral Health in a timely manner.

Monitors the telehealth patient flow, and troubleshoots any problems, and resolves any patient issues at the remote telehealth health center to ensure clinical excellence is maintained across digital platforms of care.

Ensure staff are providing excellent patient experience, customer service using AIDET, and ensure quality outcomes through care coordination, case management, and the utilization of appropriate internal and external resources.

Supports the Behavioral Health Management team in managing the on-site staff including Clinical Social Workers, Behavioral Health Navigators, Behavioral Health Integration Navigators, and Psychiatric Medical Assistants: Collaborates with patient care teams to track utilization and identify needs; may review and approve timesheets per CHCCC policies and procedures; assists in creating staff work schedules to ensure adequate coverage of support staff functions.

Educates and evaluates all telehealth center staff in patient-centered health care and the patient care team delivery model. Ensures health center and team are meeting JCAHO, HRSA, PCMH, HEDIS, UDS, CenCal, CHDP, and Lean guidelines and requirements in conjunction with the Behavioral Health Director.

Must be available to cover operational Behavioral Health Navigator duties, within scope, including assisting with billing statements, if necessary.

Ensures patients receive quality and safe care by ensuring access and continuity.

Reviews intakes and fee tickets for special program utilization (i.e., CHDP, Cancer Detection Program, Family Pact, Gateway, Homeless, PE, Expanded Access to Primary Care, and sliding fee) and MSO, and other required UDS guidelines.

Ensures all billing reports are accurate and timely.

Assists, monitors, and conducts audits (medical record, customer satisfaction, failed appointments, wait times, etc.) to ensure compliance with CHCCC policies, local, state, and or federal guidelines.

Participates in and/or facilitates staff meetings and huddles to ensure all staff and providers are aware of any policy changes and communicates any changes in the organization.

Assists in scheduling emergency drills (e.g. fire, earthquake, active shooter, disaster, etc.)

Maintains an efficient system for ordering forms, office, and supplies.

Demonstrates adherence to and observes all safety policies and procedures, inclusive of infection control rules and regulations.

Demonstrates the knowledge and skills necessary to provide care appropriate to the age of the patients served (infants, pediatrics, adolescents, adults, or geriatrics).

Demonstrates knowledge of domestic violence, child and dependent abuse, and elder abuse protocols.

Demonstrates cultural sensitivity and competence with patients.

Maintains and adheres to HIPAA, employee confidentiality, and privileged communications (patient, employee, and corporation).

Maintains professional behaviors and boundaries at all times.

SUPERVISORY RESPONSIBILITIES

This job has no direct supervisory responsibilities. As necessary, this job will require partnership with Behavioral Health Management (Clinical Services Supervisors and Director of Behavioral Health) to help support the oversight of staff which may include Clinical Social Workers, Behavioral Health Navigators, Behavioral Health Integration Navigators, and Psychiatric Medical Assistants.

EDUCATION and/or EXPERIENCE

Minimum Associate’s Degree in Business Administration, Healthcare Administration, Public Health, or related Behavioral Health field required. Candidates will be considered if working towards a degree with equivalent experience. Must submit an education action plan within two months of employment and be enrolled in courses within six months of employment. Previous clinical operations experience preferred. Previous experience with telehealth is highly desirable.

COMPETENCIES

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide into all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to apply sound judgment in understanding to carry out instructions in written or oral form. Ability to make appropriate job decisions following standard office policies and past precedents.

COMPUTER SKILLS

Experience with search engine software, word processing, spreadsheets, email, and keyboarding required. Working knowledge of Microsoft Office and Google Suites. Previous EHR experience is preferred.

CERTIFICATES, LICENSES, REGISTRATIONS

Possession of current, valid, unrestricted California Driver's License (Class C) required.

OTHER REQUIREMENTS

Required to pass a criminal history background check and drug screen upon hire. Annual health examination; annual Tuberculosis skin test clearance or chest x-ray; proof of immunity to MMR, Varicella, and Hepatitis B; proof of Tdap vaccine; during current flu season, must provide proof of influenza vaccine or a signed declination form. If declined, a flu mask is mandatory during flu season. Health screening requirements are subject to change based on CDC recommendations.
