Surgery Sales Coordinator Dorner Plastic Surgery and Med Spa

 

Full Time/Benefits Eligible

World class plastic surgery practice is seeking an experienced Med Spa and Surgery Sales Coordinator to provide excellent customer service and ultimately book patients for surgery at our AAASF surgical center. The ideal candidate would be an individual seeking to focus on outstanding patient care. Must be willing to learn new concepts and unlearn intuitive ideas that do not match the surgical center’s award-winning structure.

 

Job Summary: The winning candidate must be focused on selling, driving leads to sell, upselling to benefit the patient and other sales-related functions. This practice specializes in advanced cosmetic plastic surgery and non-surgical cosmetic procedures including injectables, advanced laser and skin care services, non-invasive body contouring procedures and more.

The right candidate will up-sell services while educating and encouraging clients toward the right surgical pathway. Relationship building ability is a must, as well as a desire to perform outreach with a positive attitude and friendly demeanor.

Task orientation, timely completion of assignments, and an innate desire to “get things done” is a must.

Reports To: Business Manager

Hours: Monday through Friday, 8:00 AM to 5:00 PM with some flexibility for scheduled late days and Saturdays

 

Education and Experience:

· A college degree is preferred. Equivalent combination of education and experience may be considered.

· Proven sales track record - three to five years of progressive experience working in the customer service industry with a heavy focus on sales.

· Familiarity with the health care industry and/or medical practice operations such as, patient privacy practices, cosmetic services, and medical terminology is preferred, but not required.

 

Essential Skills and Abilities:

· Must be confident and comfortable presenting surgical invoice prices ranging from $500 to over $25,000 and asking the patient to move forward by booking on the spot, without being pushy or using high pressure tactics.

· A belief in and understanding of how to sell luxury items by appealing to luxury buyers is a must.

· Commitment to delivering outstanding customer service regardless of circumstances.

· Demonstrated ability to incorporate continuous quality improvement in accordance with established AAASF surgical center standards.

· Able to successfully manage multiple projects simultaneously, including prioritization of tasks, shifting of deadlines, coordination with multiple departments and individuals, implementation of organizational and tracking processes, etc.

· Skillful in adapting a well-spoken communication style to interact with a variety of personality types, while ensuring any message is conveyed clearly and concisely.

· Strong computer skills with Microsoft Excel with working knowledge of the latest versions of Microsoft® Office and Remedly (EMR); ability to work in other programs and quickly adapt to new software.

· Able to work effectively with physician and surgical center staff members to prioritize and organize daily, weekly, and monthly tasks.

· Capable of processing requests for information quickly and accurately, and involving other employees, when appropriate, to ensure patient needs are met.

· Able to balance the importance of following set procedures with a desire to consistently improve quality of work product and efficiency of processes, maintaining a sensitivity to surgical center expense considerations at all times.

· Dedication to presenting a professional and positive image to both internal and external customers.

· Exceptional oral and written communication skills; capable of maintaining a high level of professionalism at all times and representing the practice appropriately in emails, telephonically, and in conversation.

· Commitment to maintaining progressive knowledge and skills essential to successfully perform the duties outlined herein.

 

RESPONSIBILITIES:

· Sales focused

· Patient Experience

· Serve as the primary point-of-contact for all surgical sales inquiries including telephone, text, social media, email, and website communications

· Schedule surgical patients for consultation appointments.

· Provide new patients with initial documentation and medical history forms to complete.

· Greet all patients prior to consultations and introduce them to the practice and providers.

· Communicate relevant patient information to providers, i.e., patient concerns, goals.

· Work with physician to develop and prepare customized patient-specific surgical plans.

· Create, present, and review detailed, accurate surgery plan quotes with patients.

· Review pricing, upsells options and/or financing options with patients.

· Schedule surgical treatments, as well as pre- and post-operative appointments.

· Coordinate all elements included in the cosmetic surgery process, e.g. facility, anesthesia, insurance, and/or any special needs or requests.

· Complete follow-up correspondence with all patients, as appropriate.

· Practice Quality Control

· Support, incorporate, and assist in the development of surgical center's mission and goals.

· Track and evaluate patient and procedure conversion rates. Regularly communicate these results to providers and/or practice management.

· Preserve current and/or create new policies and procedures in accordance with all HIPAA requirements to ensure Private Health Information remains confidential.

· Maintain an understanding of third-party payer processing and guidelines.

· Communicate policies and procedures to practice providers and staff, as applicable (may include managing training sessions).

· Remain active in continuing education to ensure knowledge base is current and consistent with expectations of the surgical center and healthcare industry.

· Survey providers, staff, and/or patients to obtain feedback on policies, procedures, guidelines, standards of patient care, etc.

· Sustain and/or create patient collaterals including, new patient surgery packets, patient treatment quotes, information packets, etc.

· Evaluate opportunities to implement or maintain goal-setting criteria and communicate those goals to management and surgical center staff.
