Kelly Services is partnering with our client, a full-service HVACR company based in Orlando, FL (zip 32837), to seek a dedicated Project Coordinator. In this role, you will collaborate closely with Project Managers to ensure the seamless planning, administration, financial management, and reporting of various projects.
Schedule: Monday - Friday, 7:00 AM to 4:00 PM
Salary: Up to $55,000 (Based on Experience)
Essential Functions:
- Provide comprehensive administrative support including typing, filing, emailing, and correspondence routing.
- Generate Purchase Orders for Project Managers and Field Employees.
- Review all invoices before Project Managers' signatures.
- Oversee the setup and maintenance of job files.
- Prepare Submittal Manuals and Payment & Performance Bonds as necessary.
- Manage billing for ongoing projects and prepare Pay Applications.
- Address payroll queries from the Accounting department.
- Monitor Accounts Receivables and handle past due notices and liens.
- Coordinate permit requests and inspections as required.
- Maintain and issue Notice To Owners and Certificates of Insurance.
- Prepare WIP Reports for Project Managers monthly.
- Initiate Warranty Letters and distribute them accordingly.
- Arrange travel and accommodations for Project Managers and Field Employees.
- Keep Project Managers informed of any project updates or changes.
- Attend weekly AR meetings to review collection activities.
Education and Experience:
- High school diploma required.
- AA degree in Business Administration preferred.
- Minimum of seven (7) years of experience as an Administrative Assistant or Project Coordinator in the Construction field.
Knowledge, Skills, and Abilities:
- Familiarity with construction forms and permits.
- Proficient in Microsoft Office Suite.
- Strong administrative skills with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to multitask and thrive in a fast-paced environment.

- Adhere to all safety, health, and loss prevention rules and regulations.
