Spare Parts/Tool Crib Coordinator

Reports to: Facilities Supervisor

Job overview

The Spare Parts/Tool Crib Coordinator is responsible for ordering, verifying and distributing parts for our machines and maintaining optimal inventory levels. We are looking for an individual who can create strong relationships with our vendors to ensure timely delivery and distribution of parts. In addition, this individual will maintain accurate accounting records for inventory.

Responsibilities

  • Serves as a first point of contact for all spare parts inquiries from the Business Unit
  • Accurately identifies and provides parts necessary to complete repairs
  • Receives and processes requisitions in accordance with planned requirements
  • Works together with operations to determine demand for spare parts and cutting tools
  • Maintains optimal inventory to ensure parts availability
  • Works to mitigate risk of inventory loss
  • Maintains optimal inventory levels through ordering parts according to sourcing procedure, ensuring suppliers deliver purchases defect-free and on time
  • Manage the new & used parts inventory and ensure that parts are on hand in the right quantity and specifications in an organized manner
  • Receives and stores parts in an organized and easily accessible manner
  • Establishes strong relationships with vendors to locate and order parts, obtain best pricing, and best delivery terms
  • Inspects parts for quality and accuracy
  • Ensure timely distribution of parts in accordance with the maintenance schedule
  • Enters orders for spare parts for IMS Gear GA that are not on SAP
  • Maintain accurate accounting records for the existing, purchased and/or returned parts
  • Keep parts area clean and organized for production efficiency
  • Processes parts orders and coordinates with operations through to completion
  • Processes and maintains purchase orders that reflect the expected pricing and deliveries
  • Provide input and progress activities on departmental goals
  • Handle urgent and expedite requests in a timely manner
  • If necessary adapt delivery dates and initiate measures to secure production
  • Manages backorders and ensures these are shipped as soon as vendor inventory is available
  • Inventories, stores and distributes hand tools and other equipment
  • Performs frequent inspection to check tool functionality and safety conditions of parts
  • Researches alternative vendors
  • Ensure data accuracy in SAP spare parts inventory
  • Other duties as assigned

Job Requirements

Education requirements

  • High school diploma and minimum 2-years of experience in materials management in a manufacturing setting.

Skills requirements

  • Intermediate MS Office Skills with emphasis on Microsoft Excel
  • Experience working with large ERP system (SAP knowledge desired)
  • Logical, hands-on problem solving skills
  • Ability to determine priorities
  • Good organizational skills and ability to multitask
  • Detail oriented
  • Ability to work in a fast-paced manufacturing environment
  • Work well with others to achieve common goals

Physical requirements

  • Lifting and carrying up to 50 lbs.
  • Pushing and pulling up to 35 lbs. using material handling equipment
  • Frequent standing, walking, handling, using fingers, reaching outward, reaching above shoulders, climbing, kneeling, bending and working from height
  • Occasional sitting and crawling
