Heart of Ohio Family Health is a non-profit organization that operates the following six Federally Qualified Health Centers located in Franklin County, Ohio: Heart of Ohio Family Health at Capital Park, Heart of Ohio Family Health at Canal Winchester, Heart of Ohio Family Health at Mount Carmel East, Heart of Ohio Family Health at St. Ann’s, Heart of Ohio Family Health - James B. Feibel Center, and Heart of Ohio Family Health at Whitehall-Yearling (a school-based site). Summary: The Clinical Supervisor manages day to day activities of direct provider support staff (PCAs/MAs and LPNs) and ensures completion of daily work in the clinic. The Clinical Supervisor manages the performance, time/attendance for staff, and assists with professional development of MAs/ LPNs in coordination with Sr. Manager of Clinical Services and Assistant Clinical Manager. The Clinical Supervisor works with others to ensure adequate supplies are available to complete work in the clinic. When a supervisor is needed to address a customer service concern, the Clinical Supervisor is often the one to participate. Clinical duties may include taking and recording vital signs and medical histories, preparing patients for examination, drawing blood, and administering medications as directed by physician within the scope and competencies of the clinical supervisor. May vary based certification/licensure.

Job Duties, these are considered essential to the successful performance of this position:

  • Supervises direct provider support staff (PCAs/MAs and LPNs). Responsible for time, attendance, development, performance management, and performance evaluations of these staff. Coordinates with other Clinical Supervisors to ensure adequate staffing at all sites.
  • Lead huddles
  • Limited vaccine management in coordination with LPN responsible for vaccine coordination
  • Ensure adherence to processes relevant to direct support staff. Conduct audits of performance. Share performance feedback with direct support staff.
  • Assign quality outreach and transitional care duties to support staff. Monitor for completion of these duties.
  • Work with the Sr. Manager to standardize and create processes related to direct support staff.
  • Participates in the training of new direct support staff and provides guidance in a positive manner.
  • Supports the Clinical department as directed and supervises/facilitates daily flow of clinic
  • Perform clinical administrative desk work, notify patients of abnormal lab results, phone triage and getting back to the patient within a reasonable time frame and certain clinical duties under the direction of provider
  • Pulling Emergency Room Reports prior to patient visit with provider
  • Prepares patients for providers’ visits by explaining procedures, recording and collecting patient data
  • Sets up and organizes exam room for various medical procedures and assists physicians with procedures
  • Maintains clinic supplies and conducts inventory.
  • Distributes educational material to patients, as directed
  • Obtains body specimens, using proper techniques and correctly labeling the specimen
  • Stocks the exam rooms
  • Calls patients with lab and/or test results, as directed
  • May collect and maintain statistical data
  • Follows all laws and regulations and adheres to all of the Organization’s policies and procedures, especially the hazardous, health and safety procedures
  • Includes working in family/internal medicine, OB/GYN, and pediatrics.
  • Maintains functional knowledge of staff responsibilities.
  • Develops, recommends, implements and maintains an overall organizational structure, systems, and staffing plan to effectively accomplish the goals and objectives of the clinic(s); ensuring timely and resource-efficient responses to clinic needs.
  • Initiates coaching, disciplinary action, and performance improvement planning utilizing direct and open communication, in order to address violations of policy and/or poor behavior or performance.
  • Assist in training and shadowing experience of onboarding staff.
  • Other duties as assigned (non-essential)

Job Qualifications (Experience, Knowledge, Skills and Abilities)

  • Clinical Background: Medical assistant, LPN, dietitian, RN, social worker, bachelor’s degree in relevant field such as healthcare administration, public health, or similar background
  • Experience: 2-3 years of management experience strongly preferred. FQHC or outpatient clinic experience preferred.
  • Skills to expertly deliver exceptional health care to the public
  • Ability to successfully work in unison with others to create an efficient, harmonious work environment
  • Demonstrates competency in working sensitively and respectfully with people of various cultures and social status
  • Strong interpersonal, organizational, communication, leadership and customer service skills.

  • Strong organizational, communication, leadership and patient experience skills. Ability to work independently in a fast-paced, dynamic environment.
  • Proficient in word processing and spreadsheet software. Knowledge of medical office operations and systems; familiar with guidelines regarding patient confidentiality issues, OSHA, Joint Commission, customer service, and knowledge regarding the clinical operations and needs of a medical facility.
  • Knowledge of federal, state and local laws and regulations pertaining to health care and safety
  • Ability to communicate (orally and in writing) in a professional manner
  • Ability to maintain an established work schedule to ensure dependability and accuracy of work quality

Facility Environment:

Heart of Ohio Family Health operates in multiple locations, in the Columbus, OH area. All facilities have a medical office environment with front-desk reception area, separate patient examination rooms, nursing stations, pharmacy stock room, business offices, hallways and private toilet facilities. All clinical facilities are on the main ground floor and ADA compliant.
