Job Description

The Legal Assistant is responsible for drafting legal documents, client updates and communications, meeting numerous client deadlines (metrics), updating internal and external case management systems and running reports.

Duties & Responsibilities:

Provide support to paralegal staff

  • Update the internal case management system (CaseAware) and complete assigned steps.
  • Utilize and update client portals on a regular basis, to reflect all client activities including filing of complaints, final judgements and amended complaints.

  • Complete background checks at the beginning of each new milestone:
  • Pacer – Bankruptcy
  • SCRA – Active Military Service
  • Draft, prepare, and review legal documents and packages such as 10 days’ notice, complaints, motions, affidavits, pleadings and the like.
  • Conducts research on filing rules by county.
  • Prepare check requests and fee approvals, as necessary

Communicate with internal staff and clients

  • Communicate all events and developments to clients using portals, email and client preferred methods of communication (fax, mail, overnight, as appropriate)
  • Discuss any issues regarding cases with paralegals, attorneys and managing paralegal.
  • Establish a strong follow-up system, which includes proper calendaring, to ensure deadlines are not missed
  • Request pertinent documents, fees, and related items from clients and third parties and follow-up on unfulfilled requests

Administrative Tasks

  • Maintain and organize files.
  • Scan, upload and update all documents to case management system and client portals.
  • Mail out correspondence to debtors and clients.
  • Runs CaseAware reports to track adherence to client deadlines.

Job Requirements

  • High School Diploma or equivalent
  • Paralegal certification from accredited school or at least 5 year’s legal support experience.
  • Minimum of one year in a law firm, with prior experience in default.
  • Knowledge of legal case management system preferred, especially CaseAware.
  • Must have strong computer skills; Word, Excel and Outlook as well as general understanding of software systems to access and utilize client systems.
  • Outstanding written and oral communication skills to communicate with attorneys, staff and clients.
  • Possess a sense of urgency and a meticulous attention to detail
  • Ability to work independently and comfortably in a fast-paced work environment while maintaining constant focus on producing an excellent and accurate work product
  • Outstanding organizational skills.
  • Ability to maintain positive working relationships
  • Ability to handle a large volume of cases.
  • Must be punctual and reliable.
