Job Summary:

We are looking for a office assistant who is reliable, detail-oriented, and a problem solver to oversee smooth production flow at our overseas manufacturing facilities, manage on-time delivery, achieve cost & inventory imperatives, and provide support to the sales department. The fast-paced environment requires the successful candidate to be flexible and responsive to changes in work demands, persistent while overcoming obstacles, and determined to see issues through to successful completion.

Job Description:

  • Prepare requisitions, source and coordinate with vendors to obtain product quotes to include price, availability and delivery schedule
  • Prepare and create purchase orders
  • Track, monitor, and follow-up all shipments and complete all incoming inspection reports and reconcile receiving /purchasing documentation
  • Coordinate returns and refunds with vendors in case of quality issues
  • Manage various communications with manufacturing facilities, quality assurance, and logistics
  • Implement process improvements in the areas of inventory, QA and PO management
  • Will be asked to provide customer support, technical support, and sales assistant
  • Be able to arrange necessary shipments both domestically and internationally
  • Provide necessary details to customers (e.g., product prices) and place orders with suppliers
  • Customer/Technical support; investigate and resolve any problems with customers/suppliers
  • Coordinate domestic/international export shipments according to regulations
  • Data input for purchasing and operation system(s)
  • Actively and consistently support all efforts to simplify and support sales team to facilitate sales of company Products
  • Assist with the preparation of sales presentation materials by working with Sales team
  • Maintain the sales projects list and assist the VP and Director of Sales with their project activities.
  • Attend the Sales Team meetings, ensure action items are discussed, and assists with customer follow up activities.
  • Prepare reports and documents as necessary in a regular and timely manner
  • Flexibility and adaptability to a fast-paced work environment and ability to work under tight deadlines.
  • Strong organizational abilities and teamwork including time and resource management.
  • Reporting to purchasing manager with daily tasks.

Education and Experience:

  • Related experience in Logistics, Purchasing, Sales Support or equivalent combination of education and experience
  • Purchasing: 1 year
  • Sales Support: 1 year
  • Experience working with retail portals (BestBuy, Walmart, Home Depot, etc) PREFERRED.

Required Skills:

  • Excellent analytical skills; ability to learn and use syndicated data to forecast trends and projections.
  • Experience with ERP and various reporting systems with the ability to learn quickly
  • Teamwork approach within the organization to accomplishing goals
  • High Proficiency in MS Excel, Word
  • Some nights and weekend work might be required during peak seasons
