Position Status: Hourly, part time (20-30 hours a week)
Responsible to: Senior Pastor
Position Summary: This position functions as admin primarily to Senior Pastor and additionally to ministry leaders. It services the church and ministry teams with admin support so that ministry functions operate smoothly and that church events are organized.
Specific Qualifications:
- High School degree. Some college degree preferred.
- 3+ years’ experience working in administrative field preferred or background in church ministry.
- Excellent people, organizational, and administrative skills.
- Quick learner of new systems.
- Trustworthy with sensitive information and money including ability to handle a church credit card.
- Leadership skill to lead small teams of people and manage direct reports.
- Strong organizational skills to handle various responsibilities efficiently.
- Basic computer proficiency with either a background in Church Management Software (PCO) or the ability to learn and understand quickly.
- Proficiency in Microsoft Word, Excel, and PowerPoint. An understanding and familiarity of Adobe suite preferred.
- Team player who can plan well but stay flexible.
- Willingness and ability to comply with and support all policies, procedures, standards, and statements outlined in the employee handbook.
- Warm demeanor who can handle outside guests via phone, in person, or email.
- A growing committed follower of Jesus Christ. (2 Pet 1:5-11; 2 Pet 3:18; Eph 4:15)
Responsibilities and Duties:
- Manage Church Management Software (Church database which is Planning Center Online) including keeping the database up to date, keeping Small Groups up to date, and having a knowledge base of PCO to help our congregation navigate from a user side.
- General office administrative tasks specific to church – following up with congregants and visitors, sending welcome letters, inputting correct information, updating website when necessary.
- Work as an administrative assistant primarily to the Senior Pastor for general tasks, screening calls, setting up appointments, and printing weekly sermon outlines and other printing needs. Work as an administrative assistant secondarily to other church staff in director positions.
- Keep updated the church facilities calendar and church event registrations.
- Be point of contact for direct reports – Janitorial and Event Coordinator.
- Provide admin assistance to volunteer leaders for hospitality, greeters and first impressions, and security.
- Act as reception for the church during determined working hours including handling office phone, handling mail, receiving inquiring guests, etc.
- Follow policies created by Senior Pastor or Associate Pastor for building use including handing out keys, building opening and closing, etc.
- Manage the stock and oversee reoccurring purchases for the church
- Balance Credit Card according to the policies from the Finance Committee
- Take a general care or investment in the appearance of the facilities and the grounds by acting as point person, when necessary, between church staff and facility teams to maintain building and facilities (irrigation, pruning, snow removal, weed control, etc.)
