The Wholesale operations Coordinator is responsible for executing the Order to Delivery process, system & process management, supporting to the Wholesale team as well as participates in key customer meetings.


In delivering on the above, the Sales Operations Coordinator manages external communication with clients and internal communications with internal parties namely Customer Service, Logistics, Planning, Credit, IT, Marketing and Product.


Responsibilities:

• This role supports operational initiatives, including order fulfillment & allocation, wholesale trading partners’ EDI and non-EDI orders, inventory management, and support for all indirect models including Hybrid, Wholesale and Franchise.

• Manage the complete sales order lifecycle from order inception, entry, to fulfillment, including new client setup, order confirmations.

• Daily review of ready goods, shipments, orders, changes in distribution and deliveries for each account; secure and ensure timely fulfillment of all order.

• Manage EDI process from input manual orders, checking stock availability, Cross check and address discrepancies in EDI orders. Ensure accuracy of shipments & documentation including UPCs for outgoing shipments.

• Closely collaborate with Commercial Customer Service, Finance, Operations, Pricing Office in both HQ and in the US to ensure timely and effective coordination of input & outgoing orders; assist with logistics for the Americas for Nordstrom, Neiman Marcus, Holt Renfrew, Bloomingdales, Bergdorf, Saks, Franchise etc; sustain & strength customer loyalty.

• Support sales and address in-season demand through cross-functional coordination to leverage omni-channel inventory / available stock. Liaise between different departments and the customer to provide the best experience.

• Track and manage all company inventory within Indirect channel; perform regular checks to identify and proactively resolve inventory discrepancies, including identifying reasons for discrepancies, correcting errors, and updating systems and procedures to mitigate further issues.

• Create & streamline processes and/or work flows to help scale the business; support efforts including new or expanded models including Dropship, Marketplace, E-concession, etc.

• Manage return authorization and follow-through with returns up to finalizing the credit due.

• Provide feedback to leadership on solutions and improvements related to operations and logistics.

• Develop and maintain a comprehensive understanding of the company’s products and services.

• Supports, executes directive, and collaborates with Account Executives, Coordinators & VP of Wholesale.


Skills & Experiences

• Bachelor’s degree or higher

• Must enjoy customer service and support sales through working directly with customers

• Prior work experience in a sales department as a Wholesale Assistant, or similar role

• High proficiency with MS Office applications with emphasis on Excel (v-look ups, pivots, shortcuts) & Power Point

• Prior experience with order management systems

• Must be detail oriented, highly organized, and attentive to time-management & prioritization

• Must be able to resolve customer issues with little supervision

• Ability to prioritize while handling multiple tasks

• Documented track record of successful work history & customer service skills

• Self-motivated

• Ability to work both as apart of a team & independently
