Position Overview:
As a Senior Client Service Associate at our firm, you will play a critical role in supporting our clients and ensuring the smooth operation of our business. You will support our advisors, our clients, and our continued growth, ensuring smooth firm-wide operations centered on client service including client-specific, account-specific, and general business functions. You will be responsible for various tasks, including financial planning support, schedule management, IT support, paperwork completion, customer service, marketing support, project management, and assisting affiliated companies. Because the position assists and touches the firm’s entire operational scope, you will strategize with leadership and bring ideas for improvement, along with the tenacity and project management capabilities to implement them. Responsibilities:

  • Deliver exceptional customer service to clients through personalized outreach and professional communication
  • Provide comprehensive financial planning support by collecting and coordinating information
  • Prepare investment account paperwork and manage the transfer of assets
  • Respond promptly to client service requests, troubleshoot service issues, and provide effective solutions
  • Assume cashiering function with custodians, ensuring accurate and efficient financial transaction processing
  • Interface with custodians to complete new account applications and various account maintenance items, process cash and securities transactions, follow up as needed
  • Update and maintain client status and information within CRM and all internal systems and reports
  • Monitor and streamline workflows for client service and business operations tasks
  • Proactively communicate with advisory team, providing updates and addressing concerns
  • Conduct research, prioritize issues, and follow up on incoming inquiries
  • Proactively manage schedules and prioritize appointments for efficient operations
  • Train and supervise other employees
  • Offer IT support to maintain computer hardware and software systems
  • Assist in creating marketing materials and campaigns to support business growth
  • Manage special projects with resourcefulness and problem-solving skills
  • Provide support to affiliated companies
  • Utilize QuickBooks for bookkeeping tasks, as needed

Qualifications:

  • 2+ years of experience working within a financial advisor’s office is required; 5+ years preferred
  • Bachelor’s degree highly preferred, or equivalent work experience
  • Solid understanding of investment and financial planning management concepts
  • Familiarity with industry-specific software
  • Advanced level proficiency in Microsoft Office
  • Proficiency in technologies including Dropbox, Slack, Salesforce, and Windows devices/software
  • A passion for hard work and a love for taking ownership of challenging problems
  • Client-focused mindset with a commitment to delivering exceptional service
  • Ability to maintain grace and poise under pressure in a fast-paced environment
  • Strong follow-through and ability to manage multiple projects and deadlines effectively

  • Excellent oral and written communication skills
  • Ability to pass an intensive securities industry background check
  • Bookkeeping experience is a plus
