Summary/Objective:

We are looking for someone to join our team as the Executive Office Coordinator. Reporting to the Director, Executive & Board Operations, this role would be responsible for providing administrative support to the Executive Office. The ideal person for this role thrives on taking initiative, coordinating details and logistics, managing deadlines, and building relationships.

Executive Office Support:

  • As the Coordinator, your daily functions will include, but are not limited to, providing administrative, scheduling, and travel support for the Executive Office 
  • Coordinate the meeting/travel schedule 
  • Planning and executing calendaring functions for virtual and in-person meetings and events 
  • Coordinate all domestic and international travel arrangements 
  • Assist with scheduling and logistics for internal and external meetings 
  • Coordination of travel reimbursements/expense reports 
  • Assist Core Team members with administrative tasks (travel, document formatting, expense reports, etc.) 
  • Assist with preparing of PowerPoint presentations and/or Excel documents, as needed 
  • Coordinate logistics for all committee meetings as needed 
  • Assist with coding and processing of invoices 
  • Assist with coordination of conference center activities, as needed 
  • Other duties as assigned.

Position Type and Expected Hours of Work 
This is a full-time position.  Flexible work schedule is available

Required Education and Experience

  • A bachelor's degree preferred or equivalent combination of work experience, training and certifications
  • The ideal candidate must have at least three to five years of experience in the coordination and administration of projects, training, events and/or meetings

 

Preferred Education and Experience 

  • Association-based work experience a plus
