Job Overview:
The Project Coordinator is responsible for negotiating, procuring, receiving and coordinating all materials and sub contracts within the regional coverage market. This role works directly with the Regional PM in setting up all planned and reactive projects to be able to schedule with our customer within their expected timeframes.
Directly Reports To: Regional Project Manager
• Responsible for working with operations team in ordering materials, verifying materials coordinating day to day schedule within timeline expectations.
• Responsible for project planning as it relates to material pick up and/or delivery, sub coordination, scope of work instructions and tool/equipment requirements to complete the scope of work of a project for crew members and sub-contractors
• Collect and verify all onboarding paperwork for sub-contractor and/or vendors are accurate in the system and/or obtain needed documents within vendor profile prior to completion of project. Including updated COI, MSA and W9.
• Verify all vendor and subcontractor invoices are accurate and approve for payment prior to sending to QCReview for project billing.
• Responsible for purchasing and communicating all required travel arrangements for in house employees relating to assigned projects
• Responsible for all PO creation and invoice verification for approved payments for assigned projects.
• Responsible for tracking and managing all assets within regional parameters including vehicles and tools and equipment
• Responsible for managing Home Depot account and verification of purchases within Home Depot account with a monthly reconciliation of all purchases made on account within assigned projects.
• Responsible for monthly inventory management of all stock materials with verification of minimum stock materials within regional warehouses
• Responsible for assembling and managing project timelines, job plans and schedules within profit margin expectations
• Responsible for managing and coordinating within sub-contractors within Sheer Enterprises sub-contractor agreement parameters.
• Responsible for coordinating with sheer crews and sub-contractors within Sheer Enterprises sub-contractor agreement parameters
• Organizes schedule with restaurant and retail management location teams prior to finalizing crew schedule. Expected to relay information such as nightly deliveries, start times, closing manager, etc.
• Sends afternoon update e-mails to crews and management containing all pertinent information regarding that night's scope of work including location of job, contacts names and numbers, start time, scope of work, materials needed etc.
• Responsible for sending out required documents including sign offs, survey notes and pictures, job plans and project schedule to crews, techs and “In House” sub-contractors for all scheduled work orders
• Responsible for coordinating schedules, start times, expectations and specific instructions as it may pertain to individual projects with crew members and “In House” sub-contractors
• Responsible for collecting daily updates by 9am along with In Progress and completion pictures, sign offs and add to documentation of project documents
• Responsible for alerting Project Management team of any issues or changes relating to ongoing projects.
• Responsible for calling by EOD Friday of each week to confirm upcoming schedule for all scheduled projects on upcoming weeks schedule
• Responsible for calling each scheduled project location by 9am every morning for after-hours work to ensure there are no issues with ongoing or completed projects
• Record all communication with customers within project notes of every WO.
• Additional tasks assignments from Regional Project Managers and/or Sr. Project Manager as required

Candidate Qualifications:
· 3-5 years of purchasing experience and/or facilities management experience
o Direct experience in restaurant and/or retail construction or facility maintenance is highly desirable
· Ability to read, analyze and interpret construction drawings, work orders and survey notes.
· Excellent technical skills, including using computers, the Internet and file sharing required.
· Strong personal management skills, dedication and organization required.
