Job Description
Five Lakes Speech, Language and Literacy is a small, private, pediatric practice that offers speech and language therapy, occupational therapy, and literacy services to pediatric clients. We are seeking a part-time to full-time front office manager, with many potential growth opportunities within the business.
Responsibilities and Duties:
Oversee the day-to-day operations of the practice to ensure the office remains clean and welcoming, and to optimize clinic efficiency that may include scheduling, patient flow, and/or staff supervision.
Manage front desk activities, including greeting patients, answering phones, and handling inquiries.
Protects patients’ rights by maintaining confidentiality of medical, personal, and insurance information.
Oversee billing, collection of co-pays, deductibles, and other outstanding balances and insurance processing, verifying coverage and processing claims as needed.
Communicate with RCM team regarding timely insurance claim processing
Manage and obtain prior authorizations for speech-therapy and doccupational services
Collaborate with clinicians and staff to foster a positive work environment and promote professional growth, addressing any office issues that may arise
Handle parent concerns and complaints with professionalism and empathy, seeking resolution in a timely manner.
Participate in the monitoring and management of the program budget with constant attention to accounts receivable
Evaluate and monitor clinic flow to ensure that patients are scheduled appropriately, as well as other other processes to maximize efficiencies.
Act as a liaison between clinicians and referring healthcare providers to optimize patient care and outcomes
Collaborate with director of rehab to ensure project goals and KPIs are being met.
Identify opportunities for process and office management improvements.
Manage inventory, re-stocking of supplies and equipment maintenance.
Complete additional tasks as they are assigned
Qualifications
High school diploma or equivalent; college degree preferred in business, office administration, or related field.
Previous experience overseeing operations in a healthcare setting; at least 1 year in a supervisory or leadership role preferred.
At least 1-3 years of experience with insurance processing preferred.
Skills and Competencies
Superior problem-solving skills; ability to identify service delivery issues and develop timely solutions
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities, with excellent attention to detail.
Proficiency with Microsoft Office – particularly Excel and PowerPoint; familiarity with an Electronic Practice Management (EPM) and/ or Electronic Health Record (EHR).
Ability to effectively communicate to all members within the organization, excellent customer service skills with a strong focus on the patient experience.

8:00-5:30 (M-Th), NO Fridays or weekends
Pay
- First 90 days of employment (Part-time, probationary period)- $15.00-$18.00/hour based on experience. Hours will begin at 15 hours per week and hours will increase each week as the employee takes on additional responsibilities.
- After 90 days of employment (Full-time)- $20.00-$25.00/hour based on experience. Employee will be moved to a full-time status, working M-Th for no more than 40 hours per week.
