Position Overview:

The Accounting Associate will provide essential support in the areas of AP, AR, and General Accounting. This position also provides administrative support to the AVP of Finance & Accounting and the Chief Financial Officer. This part-time position (21 hours per week) will be based out of the Worcester office and offers great schedule flexibility.

Essential Functions:

Accounts Payable:

  • Support and assist with the Accounts Payable function which includes maintenance of vendor data, processing and coding invoices, entering into accounting software, selection of invoices for payment and processing of check runs
  • Resolve accounts payable issues with vendors and reconcile a variety of accounts
  • Maintain organized and accurate filing of invoices and other records
  • Prepare reconciliations of vendor accounts and related general ledger accounts as needed
  • Serve as backup to process AMEX and other credit card payments matching purchases to received items on purchase orders coordinating with purchasing staff

Accounts Receivable:

  • Support all aspects of the Accounts Receivable/Billing function which includes preparation of bank deposits, preparing and emailing invoices, tracking of payments, customer data entry into accounting system, and cash application ensuring consistency and accuracy
  • Process payment vouchers in customer billing systems
  • Perform account research and analysis to resolve billing and A/R discrepancies
  • Serve as backup to process and apply incoming wire transfers received from clients
  • Serve as backup to prepare daily bank deposit using check scanner, take cash deposit to the bank, apply payments to customer balances in A/R, and update daily cash sheets

General Accounting:

  • Assist the AVP of Finance & Accounting with the following accounting operations:
    1. Monthly account reconciliations
    2. Monthly journal entries
    3. Audit preparation
    4. Coordination and monitoring of various financial functions
  • Provide administrative support to AVP of Finance & Accounting and Chief Financial Officer as needed.

Required Qualifications:

  • Minimum of Associates degree in Accounting or business related field preferred
  • Minimum of two years of experience in a financial or accounting role including A/P and A/R processing
  • Demonstrated ability to process large amounts of data manually
  • Strong computer skills with proficiency in Microsoft Office products such as Outlook, Teams, and expertise in Excel
  • Ability to meet established deadlines and service-level agreements
  • Strong attention to detail and passion for accuracy

Preferred Qualifications:

  • Knowledge of payroll operations
  • Previous experience with Microsoft Dynamics Great Plains Accounting Software
