Job Title: Administrative Assistant - Part Time

Job Summary:

An administrative assistant for our organization to perform multiple duties, including scheduling appointments, handling administrative requests, preparing reports and maintaining appropriate filing systems, planning meetings, taking minutes and so on. In addition, maintains office efficiency by planning and implementing systems and deploying, coordinating efforts across the corporate office in collaboration with the HR Associate.

Duties and Responsibilities:

  • Providing general administrative and clerical support including mailing, scanning, faxing and copying to management.
  • Ability to take and produce minutes of meeting.
  • Maintaining electronic and hard copy filing system.
  • Ability to prioritize projects, resolve problems, conduct research, and pay attention to details.
  • Opening, sorting and distributing incoming correspondence to designated departments or individuals.
  • Performing data entry, scan documents and reports.
  • Running company errands to post office and office supply store that includes maintaining supplies as well.
  • Answering and managing calls from business partners, senior management and staff regarding inquiries.
  • Preparing and modifying documents including correspondence, reports, drafts, memos, and emails.
  • Assisting as needed with agency projects

Minimum Qualifications

  • Associate’s degree in Management or a related field of study and/or appropriate combination of education and experience to ensure on-the-job success.
  • 1-2 years of previous work experience in an Administrative role,
  • Proficiency in MS office (Word, MS Excel, MS Outlook & Power Point in particular)
  • Excellent interpersonal, oral and written communication skills
  • Must possess the ability to maintain confidentiality
  • Strong organizational, problem solving and planning skills in a fast-paced environment
  • Ability to pay attention to detail; ability to multi-task
  • A creative mind with an ability to suggest improvements
  • Bi-Lingual English/Spanish is preferred
  • Must foster and maintain positive working relationships
