The Administrative Assistant/Front Desk position is the first line of contact with our customers and manufacturers - both on the phone and in person as well as an addition to our Sales Support team. This position offers the opportunity to grow depending on how well you excel in the daily task and responsibilities addressed below.
Working hours from 8:30AM to 5:30PM Monday through Friday ,one hour lunch. Some overtime may be required.
Must be well groomed and professional; friendly with great customer service skills. ATTENTION TO DETAIL IS A MUST.
Position Responsibilities:
Primary duties:
•Welcome every person that comes to our office
•Responsible for opening/closing of the office and activating/forwarding the phones to the answering service
•Maintaining the lobby and an orderly work space
•Answering phones (using headsets)
•Detailed screening of calls and directing them to the appropriate staff member (recognizing customers’ names and/or institutions to minimize their time kept on hold)
•A variety of daily reports and logs
•Handling Invoices and Financial Statements
•Processing the office mail/correspondence
•Speaking with customers to take their product orders, then enter such Sales Orders in the system, prepare and send Order Confirmations to customers pertaining these orders
•Assist Executive Management with their tasks and needs
•General administrative/clerical tasks
Additional duties:
Handling and assisting with tasks relating to other departments and staff members: Sales Support & Marketing, Sales, Credit and Accounting, etc. Assist other departments with clerical functions such as filing, helping with large mailings, maintaining spreadsheets and assisting in other capacities as needed.
Position Requirements:
•High school Diploma or Equivalent
•Minimum of two (2) consecutive years previous receptionist experience
•Must be able to quickly learn HCI computer software systems with minimal training
•Attention to detail and ability to multitask
•Candidate must be proficient in word processing and the following software programs: Microsoft Office (Word, Excel, Outlook, Calendar)
•A working knowledge of the Internet, PowerPoint and Publisher is a plus
•Candidates must be well groomed and professionally attired
•NO VISIBLE TATTOOS OR PIERCING
