Accounts Payable/ Purchasing Specialist

This position is responsible for working collaboratively with the Finance team and delivering assigned Accounts Payable responsibilities. This position requires the ability to multitask in a fast-paced professional environment while working with customers across the entire organization with a focus on customer satisfaction and continuous process improvement.

1. Process accounts payable invoices, obtain appropriate levels of approvals and supporting documentation, code invoices and pay according to payment terms.

2. Support the preparation and processing of weekly check runs and wire/ACH payments. Generate manual checks as needed.

3. Reconcile corporate credit cards.

4. Review and process expense reports according to the Company’s travel and expense report policies and procedures.

5. Research and process vendor claims of invoice payment.

6. Review, investigate, and correct errors or inconsistencies in financial entries, A/P documentation and reports.

7. Proactively recognize, investigate and act to resolve discrepancies; utilize critical thinking to ensure accurate data and quality processing.

8. Process requisitions for Purchase Orders, place orders with vendors using Point Purchasing system. Ensure that proper support is included with requisitions (agreements for studies and quotes for large/special item orders).

9. Maintain positive vendor relationships.

10. Maintain vendor payable files and related document files.

11. Ensure accurate and appropriate expense allocation on employee expense reports.

12. Prepare and file 1099 forms.

13. Perform other duties as assigned by supervisor.

PHYSICAL DEMANDS:

While performing the duties the employee is:

1. constantly required to sit, and to reach to use computers and other office equipment

2. occasionally stand for extended periods of time, up to four (4) hours/time.

4. constantly required to view objects at close and distant ranges

Work Environment:

Employee frequently works in a professional office environment and lab with lots of computer/lab equipment, tools, and moderate amounts of noise and activity. Employee may occasionally be required to travel. The work environment is fast-paced and demanding. Off-shift, weekend and overtime duties may be required as assigned by the manager.

1. Associates degree in an Accounting discipline or equivalent combination of training and experience or 3+ years of accounts payable experience or recent Accounting degree

2. Prior work experience in the pharmaceutical, biotech or life sciences industry a plus

3. Experience in using expense reporting platforms

4. Experience using Point Purchasing or similar accounts payable software a plus

5. Proficient in Microsoft Office, specifically Excel and Word

6. Must be professional and able to work well under pressure and deadlines

7. Must be able to multi-task, be a self-starter and dynamic team player

8. Must possess a strong attention to detail

9. Must have excellent verbal and written communication skills

10. Must have excellent analytical and organizational skills

11. Familiarity with accounting software is required
