We are seeking an experienced and detail-oriented Project Coordinator to join our team. Are you someone with strong writing skills, a knack for and love of organization, and a desire to assist our transportation engineers and construction management team as we develop and execute a wide variety of transportation projects out of our Gig Harbor office? What you’ll be doing

  • Interesting and challenging work that builds communities.
  • Organize, coordinate, research information, and troubleshoot regarding given project assignments.
  • Prepare draft memos, documents, and reports for project managers as requested.
  • Format and assemble correspondence, reports, memos, and forms using word processing and/or spreadsheet software.
  • Assist with submittals to local, state, and federal permitting agencies.
  • Assist with grant applications, comment response memos, and issuing certificates of insurance.
  • Attend project meetings to take minutes and provide support for project managers.
  • Prepare materials for project meetings and organize meeting locations, agendas, and attendance lists.
  • Monitor and analyze project progress, adapting scope, timeline, and budget as necessary.
  • Proofread scopes of work, project outlines, and contracts.
  • Provide communication support with clients and subconsultants on assigned projects.
  • Assist in public outreach events; schedule appointments and interviews; organize supplies, set up and tear down of events.
  • Communicate availability to assist on projects to all company owners and project managers when they have capacity to take on new tasks.
  • Assist our construction management team with various document control processes.
  • Assist in the preparation and delivery of proposals and applications.
  • Maintain project filing; ensure files are consistent with company standards; coordinate specific filing needs with Project Managers for specific projects as needed.
  • Monitor inventory of office supplies and re-order as necessary.


What you bring

  • A passion for serving others, communication, creativity, and a commitment to high-quality work
  • Proficiency in Microsoft Office Suite, especially Word and Excel required, Microsoft Office Specialist (MOS) Certification preferred.

  • A healthy balance of logic and creativity
  • Generally, 2 to 4 years or more of progressively responsible office and project assistance experience.
