Office Manager with Construction knowledge a requirement (onsite)
Busy Contracting/Estimating office
As an Office Coordinator, you will be responsible for managing various administrative tasks and providing support to ensure the efficient operation of our office. This role requires a detail-oriented individual with excellent organizational and communication skills. Construction and estimating knowledge is required.
Key Responsibilities:
Overall Management and organization of a busy construction and estimating office.
Greet customers/contractors/guests in a professional and friendly manner.
Manage incoming calls, emails, and correspondence.
Ability to multitask and prioritize takes effectively.
Preparing and sending estimates to insurance companies
Creating contracts
Working with contractors and sub-contractors on scheduling jobs
Working with various agencies re: permits,
Project Support:
Maintain project files and documentation, including contracts, permits, and invoices.
Generate and distribute project reports to stakeholders.
Assist with project scheduling and tracking, ensuring deadlines are met.
Coordinate communication between project managers and subcontractors.
Office Administration:
Maintain office supplies and equipment, including inventory management and ordering.
Coordinate meetings, appointments, and travel arrangements.

- Maintain a clean and organized office environment.
- Handle ad-hoc tasks and projects as assigned by management.
Qualifications:
Previous experience in office administration
Strong understanding of construction industry terms, processes, and regulations.
Excellent organizational, time management, and multitasking skills.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong problem-solving and analytical skills.
Excellent communication, interpersonal, and customer service skills.
Ability to work independently and as part of a team.
Detail-oriented and highly organized with a strong sense of accuracy.
Ability to handle confidential information discreetly.
High level of integrity and professionalism
Construction software experience (e.g., Xactimate) a must
