Position Description:

TREK is seeking an experienced and highly motivated Human Resources Coordinator to support the daily functions of human resources inclusive of recruiting, onboarding, coordinating staff training and staff retention and engagement.  This is a very collaborative position as the successful candidate will work closely with all members of the TREK team and outside vendors.

The HR Coordinator provides administrative support to all departments within TREK Development, under the direction of the People Operations Manager, and works closely with outside vendors.

Responsibilities Include:

Recruiting - Accountable for coordinating and implementing successful recruiting process to include marketing TREK as a preferred employer and leader in the Real Estate Industry. 

Positive representation of TREK, communicating knowledge of positions, company, and benefits.  Maintaining communication with applicants throughout the interview process to answer questions and provide updates.

  • Accurate and timely posting of open positions via JazzHR, social media outlets, applicable professional job boards and creative marketing for open position
  • Review and select resumes during hiring processes and update databases accordingly.
  • Communicate with hiring personnel including preparation of dossier and coordinate interviews among staff and preferred candidates to ensure positive and timely experience for all.
  • Follow up with preferred candidates throughout the interview process in a timely manner.
  • Networking with professional groups within the industry, job fairs, marketing, etc, to market TREK as a preferred employer.

Onboarding - Accountable for providing a positive and energetic onboarding experience from job offer to completion of training.

  • Create a welcoming environment for all new employees including being organized and prepared before the start date, coordinating the first day lunch with colleagues, and ensuring all software, passwords, etc are completed.
  • Confident communication of employee benefits, employee handbook, TREK expectations in the workplace.
  • Being a resource to new employees to answer questions throughout the onboarding process.

Coordination of Training - Accountable for implementation of onboarding  and ongoing training for company. 

  • Administrator of online training programs.
  • Maintain up to date training completed by staff and follow up with staff when training is due.
  • Arrange workshops, training and seminars for company and departments as needed.

Staff Engagement and Retention - Accountable for the ongoing engagement efforts with staff to promote a positive and inclusive environment.

  • Coordinate staff events such as staff picnics, holiday parties and other special events throughout the year.
  • Responsible for recognition of staff anniversaries, accomplishments, and key milestones.
  • Coordinate employee engagement/satisfaction surveys inclusive of providing a quarterly report to the leadership team.
  • Create and post regularly on the company intranet to promote the work being done in all department.

Other Responsibilities:

  • Liaison with Vertilocity, Global, Verizon, GROW, Toshiba and any other vendor related to the information systems to ensure TREK employees have the tools, programs and support they need to complete their job duties (including TREK uniforms, office supplies, etc)
  • Coordinate with Property Management to maintain a fresh and updated website for all properties, and other social media promotions.
  • Collaborate with site teams on new owned/managed properties and third-party managed property onset to include coordinating and being on site for office set up (phones, computers, etc).  This will require collaboration with the Property Management team.
  • Maintain accurate databases for office equipment tracking (phones, extensions, computers, cell phones, etc).
  • Act as the administrator for software as needed.
  • Maintain Share Point intranet and files, as necessary.
  • Be a driving force of the Hospitality Covenant by modeling, inspiring and communicating respectfully with staff and visitors.
  • Specials projects and other duties as assigned.

Knowledge, Skills and Abilities:

  • Ability to communicate organizational values, the Hospitality Covenant and practices to team members and incorporate them into service efforts.
  • Ability to organize and efficiently manage multiple priorities with a keen sense of urgency.

Experience and Education:

  • Bachelor's degree in human resources or related field and/or equivalent experience
  • At least 4 years' related experience required.
  • Expert knowledge of relevant software applications including MS Office
  • Excellent working knowledge of administrative procedures.

Physical Demands and Work Environment:

  • Prolonged period of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at any given time.
