Summary/Objective

Provides administrative and financial support by processing accounts payable transactions and monitoring payroll functions

Essential Functions

  • Responds to external vendors and internal managers regarding all aspects of the accounts payable process, including processing invoices for payment, assisting with accounts reconciliations, etc.
  • Maintains and monitors the listing of accounts payable and receivables
  • Develops and maintains a filing system for financial information, files, and records
  • Ensures ready availability of financial documentation
  • Collects and verifies invoices, bills, and checks to ensure accuracy and appropriateness before payment
  • Sends out invoices for approval
  • Verifies the accuracy of vendor invoices and confirms that correct general ledger account codes are used
  • Enters invoices with correct coding and general ledger account
  • Logs into vendor sites and downloads invoices for approval and payments; reconciles statements as they come in and reaches out to vendors with questions and concerns; answers questions from vendors through e-mail or phone
  • Assists Accounting Director and other accountants as necessary with month-end close
  • Ensures outstanding obligations are credited upon payment; identifies discount opportunities; issues purchase order amendments or stop-payment orders as needed
  • Assist with the payment process and provide all documents to vendors
  • Serves as a liaison with purchasing team to help with open PO requests and assists with invoicing[MS1]
  • Performs other job-related duties as assigned

Required Qualifications

  • EDUCATION REQUIREMENT – Associate’s Degree in Accounting preferred (additional accounting experience may be accepted in lieu of degree)
  • 3+ years of experience in AP, AR, or Purchase Accounting. (Required)

Knowledge, Skills & Abilities

  • Strong working knowledge of general ledger and its relationship to financial statements
  • Refined math skills as applicable to accounting and finance; comfortable with math and calculations
  • Proficiency in accounting software, MS Office, intermediate-level knowledge of Excel
  • Ability to work independently and with a team in a fast-paced and high-volume environment with an emphasis on accuracy and timeliness
  • Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow
  • Good decision-making skills
  • Attention to detail
  • Excellent written and verbal communication skills; demonstrated ability to communicate with fellow employees and customers
  • Ability to read, count, and write to accurately complete all documentation

Work Environment

While performing the duties of this job, the employee regularly works in an office setting with constant sitting and occasional standing. Must be able to work from home with minimal distractions from outside sources (e.g., family, pets, etc.). Emotional stress levels associated with exacting accuracy requirements and mandatory reporting deadlines.

  • Regular use of the telephone and e-mail for communication is essential. Sitting for extended periods and the use of hands to finger is common. Hearing and vision within normal ranges is helpful for normal conversations, to receive ordinary information, and to prepare or inspect documents.
  • Exertion of up to 10 lbs. of force is rare. While performing the duties of this job, good manual dexterity for the use of common office equipment such as computer terminals, calculators, and printers/copiers is needed.
