JOB TITLE: SECRETARY/RECEPTIONIST (LOCKPORT OFFICE)

PROGRAM: Agency

STATUS: Part-Time, 20 hrs./week

FLSA DESIGNATION: Non-Exempt

REPORTS TO: Executive Assistant/Property Manager

DEGREE: High School Diploma

EXPERIENCE: Minimum of one (1) year in general office and accounting procedures

SALARY RANGE: $15.34/hour

SKILLS:

  • Detail oriented with strong P.C. skills
  • Strong interpersonal skills

AGENCY EXPECTATIONS:

  • Demonstrates knowledge of the program, missions, and services of Pinnacle Community Services, (PCS)
  • Complies with all policies and procedures of PCS (including NASW Code of Ethics, Collective Bargaining Agreement, and corporate Compliance Policies) and all governmental and legal requirements
  • Attends and participates in appropriate Agency staff trainings and meetings
  • Advocates for cultural diversity/sensitivity as appropriate
  • Experience and knowledge on the use of computers, cell phones and a broad understanding of using the Internet and e-mail in the workplace
  • Participates actively in ongoing professional development

JOB RESPONSIBILITIES:

  • Provides general reception duties to the general public/PCS staff coming into the Lockport Office
  • Acts as a message system for all staff
  • Tracks and sorts all incoming and interoffice mail for Lockport Office
  • Writing letters, completing documents, postage and putting mail in the mail slot
  • Assist with coordinating/setting up events as appropriate
  • Maintains petty cash for the Lockport Office maintaining all receipts and tracking of purchases
  • Maintains inventory and completes necessary ordering of office supplies, postal meter supplies and copier supplies for the Lockport Office
  • Responsible for the day to day operation of maintenance and service of all office equipment in the Lockport Office
  • Submit electronically for payment for venders and purchases made out of the Lockport Office
  • Submit electronically for payment for the Lockport Office cleaners and ordering necessary supplies for the cleaners
  • Responsible for inputting system IT tickets
  • Provides monthly meter readings for all PCS locations of copiers to BXI
  • Responsible to supply end of month reports for all PCS locations copiers usage and Lockport’s postage report tracking to Finance
  • Greets and announces visitors to appropriate personnel in a professional manner
  • Maintain safety of Suite and all keys in locked key box for the Lockport site. Getting keys made as needed. Handing out/retrieving keys to PCS staff maintaining a tracking spreadsheet of keys
  • Responsible for programming and tracking of key fobs for all staff in Lockport Office
  • Provides assistance with hanging job postings and displaying Agency Labor and State notices as required
  • Submitting monthly Safety Inspection Sheet of Lockport Office and having any noted items addressed
  • Works in conjunction with the Executive Assistant/Property Manager to ensure good communication regarding facilities and updates as needed, i.e. responsible for reporting any suite/building issues and handling contacting the building manager and giving them access to Suite
  • Updates policies and procedures manual as directed by Executive Assistant/Property Manager
  • Meets on a regular, planned basis with Executive Assistant/Property Manager for supervision
  • Maintains confidentiality of Agency
  • Performs other duties assigned by Administration

PHYSICIAL/ENVIRONMENTAL DEMANDS:

  • Job performed in a modern office setting
  • Ability to sit, stand and walk through the day
  • Ability to push, pull, bend, lift or carry up to 20 pounds throughout the course of the day related to office equipment such as p.c., journals, and binders
