Job Description
Job Summary:
First point of contact for all visitors (in person and incoming phone calls), ensuring a positive Tufco experience. Responsible for performing administrative and office support for HR, Safety, Purchasing, and Quality. Ability to work with sensitive data & maintain confidentiality is critical. Ideal candidate will be fluent in English & Spanish.
Essential Functions:
- Answers and manages incoming calls, handles requests and inquiries appropriately, and routing calls to applicable parties
- Greets all visitors and customers, explaining and enforcing Tufco visitor policies
- Translate questions, meetings & conversations for applicants, employees, & visitors
- Issues, tracks and maintains all visitor confidential disclosure agreements, safety pamphlets, and contractor/visitor badges
- Act as the point of contact between management and internal/external clients
- Maintains calendars, arranges meetings, events, appointments and coordinates meals as needed for clients, orientation, etc.
- Scans & files documents, letters, and other confidential information
- Produce reports and presentations upon request
- Processes incoming/outgoing mail (including UPS & FedEx shipments), and distributes mail accordingly
- File and retrieve documentation from computer databases
- Tracks and orders office supplies as needed
- Works on special projects and assists other departments as needed
- Updates all phone directories for company
- Responsible for opening up and locking up front desk/lobby area and applicable conference rooms in the morning and evening
Minimum Qualifications:
- High School diploma or equivalent
- Proficient in the use of office equipment (computers, software, fax/copy/scanning machines)
- Proficient in Microsoft Office applications (Outlook, Word, Excel, PowerPoint)
- Bilingual
Preferred Qualifications:
- Technical certificate or Associate degree in Administrative Assistant, Human Resources, or equivalent training
- 3+ years experience in an Administrative Assistant or Human Resource Assistant function
- Experience working in Manufacturing or Factory environment
