Job Description

Mission Bank is seeking a Facilities, Security, and Administration Associate to join at our Administration office! This position is responsible for supporting the various Business Banking Centers and Administrative offices of the bank including, but not limited to, opening, closing, and relocating these offices, overseeing maintenance related items for the facilities, overseeing security, alarms, access, cameras and eventually serving as Security Officer, and all other related duties. This position will be involved in all phases of administration roles assisting the Chief Administration Officer with day-to-day items and long-term projects. This individual must demonstrate strong organizational and analytical skills and the ability to identify and resolve business issues quickly in a professional manner.

Essential Responsibilities:

  • Fulfills needs for various administrative services in assigned facilities by performing or procuring.
  • Identifies needs, makes recommendations for, and facilitates the procurement of furniture, equipment, and other goods.
  • Coordinates and/or performs space-use analysis, inventory, and similar assessments for facilities.
  • Collaborates with other departments and staff to draft and execute budgets for assigned projects.
  • Coordinates and manages all aspects of assigned projects to ensure timely completion within available budget.
  • Acts as liaison with architects, engineers, and consultants on behalf of the company in planning, construction, and renovation projects.
  • Travel to each office of Mission Bank to fulfill all responsibilities.
  • Assists the CAO with planning functions for special projects.
  • Attends planning and development meetings and other events either with or on behalf of the CAO as needed.
  • Ensures assigned equipment is in proper working order and available for use.
  • Maintains physical space, ensuring a safe, clean, and functional environment.
  • Receives, manages, and processes work order requests; ensures problems are resolved quickly.
  • Acts as liaison between employees and any outside contractors needed to resolve specialized problems.
  • Drafts and implements preventive maintenance schedules for buildings and equipment.
  • Ensures safety standards are followed throughout facility.
  • Participates on emergency preparedness planning team.
  • Applies, or assists with application for required permits.
  • Coordinates closely with IT to properly plan and maintain facilities.
  • Works closely with CAO on planning and scheduling to ensure objects and project timelines are met.
  • Prepare reports and presentations for internal and external Bank Associates by collecting, analyzing, and synthesizing information.
  • Completes projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, and making adjustments to plans.
  • Maintains customer confidence and protects operations by keeping information confidential.
    • Maintaining Key Log for Admin:
      • Including ordering and distributing Keys and FOBs; user setup and removal, other user maintenance, and annual certification
  • Maintaining Alarms for the organization
    • Including setting up and removing users, any other user maintenance, and quarterly certifications
  • Pulling security video for BBCs, Operations Admin and for subpoena
  • Quarterly certifications for cameras and Admin I.
  • After hour contact for Administration building and backup to other locations
  • Liaison to answer BBC questions on alarms, FOBs, and keys
  • Obtain and maintain alarm permits at all locations
  • Contact for shredding service and handling all issues related thereto
  • Obtain Emergency Evacuation Maps for new locations and maintain existing ones
  • Primary contact for Administration facility issues from landlord/property manager/maintenance department
  • Manage the ordering and distribution of Robbery Kits, Emergency Kits and all signage for BBCs
  • Assist with all facility management and related administrative items.
  • Assist with various projects, such as scheduling, minutes, follow up, task assignment.
  • Assist with clerical duties for ITSC and overall Vendor Management
  • Assist with Admin Evacuation Drills, Training and Monitoring
  • All other duties, tasks and responsibilities assigned.


Minimum Requirements:

  • Bachelor's Degree (BS or BA) and 5 years professional working experience or equivalent combination.
  • Effective verbal and written communication skills
  • Detail-oriented and thorough in completing all work tasks
  • Ability to work with minimal supervision while performing duties
  • Project a businesslike professionalism to the client in both appearance and manner
  • Current driver's license and a vehicle with appropriate insurance coverage if required to drive in the course of performing assigned duties and responsibilities

Desired Skills:

  • Demonstrated ability to handle confidential information appropriately
  • Excellent verbal and written communication skills including the ability to communicate with all levels of management, executive/senior staff and clients
  • Proficient in Microsoft Office applications including Outlook, Microsoft Excel, PowerPoint and Word
  • Proficient in Microsoft PowerPoint to format high level presentations
  • Attention to detail in composing, typing, proofing materials, establishing priorities, flagging items for executive's attention and meeting deadlines

Target Compensation: $31 per hour
