JOB TITLE: Registrar/Front Office Assistant

DEPARTMENT: Registration

RESPONSIBLE TO: Registration Supervisor

EDUCATION:

TRAINING AND EXPERIENCE: At least two (2) years of clerical experience preferably in a medical office setting. Computer literate with proficiency in Windows and special emphasis on the development of data-based programs.

QUALIFICATIONS: Ability to work as a productive “team” member with staff; in a professional/personable manner with staff and patients; and accepting of supervision with a desire to learn and grow.

POSITION SUMMARY: The Registrar/Front Office Assistant is responsible for interviewing the patient upon arrival, capturing and verifying all patient’s demographic and insurance information, securing required signatures, and scheduling patient appointments.

ESSENTIAL FUNCTIONS:

  • Follow all policies and procedures.
  • Answer phone calls and answer a variety of questions and concerns over the telephone in a professional demeanor.
  • Enter a variety of data element into the computer system on a daily basis.
  • Schedule and reschedule patient appointments, including follow-up appointments, call-in and walk-in appointments.
  • Keep supply of appropriate/necessary forms available.
  • Remain courteous, calm and accurate transcribing verbal communication by telephone and during personal contact with clients and others.
  • Keep the working environment neat and clean.
  • Obtain correct up-dated demographics information, i.e. address,
  • Handle incoming telephone calls for appointments.
  • Maintain provider schedules.
  • Print and distribute daily schedules to providers and clinical support staff.
  • Schedule and notify patients of appointments.
  • Assist where possible, patients with insurance information and billing questions and/or direct them to a more appropriate staff member for assistance.
  • Call next day patients to remind them of appointments.
  • Other related duties as assigned by the supervisor.

Qualifications:

Experience: Two years medical office experience in a front office.

Other: Must possess excellent telephone, customer relations, interpersonal and organizational skills. Computer experience required.
